Company Overview Avenidas is a non-profit organization providing services to Mid-Peninsula older adults and caregivers. Avenidas offers a wide variety of health, education, recreation, and social service programs and through its multiple centers and initiatives, Avenidas supports seniors in maintaining their independence and enhancing their quality of life so that they may be active, healthy, and engaged. Position Overview The position is responsible for an important part of the day-to-day financial accounting of Avenidas. The primary functions include managing full cycle of accounts payable and payroll processing and many aspects of accounts receivable, GL reconciliations, year-end auditing assistance and both internal and external customer services for our employees and participants. Job Functions
  • Prepare daily bank deposits.
  • Code and post all online and bank deposits.
  • Process credit card payments online and manage weekly transaction posting.
  • Maintain a monthly and year-to-date reconciliation of donor receipts that agrees with the Fund Development department donor records.
  • Initiate, monitor, audit and approve vendor invoices, company credit card expenses, and employee reimbursement transactions, making sure coding and manager approvals are all correct and following company policy.
  • Monitor all payments to ensure timeliness and accuracy. Research and resolve Accounts Payable related problems.
  • Prepare and distribute year-end 1099-MISC forms.
  • Establish and keep good relationships with vendor contacts, research and resolve problems related to vendor/contractor payments.
Coordinate payroll processing with external payroll provider (currently Paylocity), ensuring accurate and timely submission of hours, adjustments, and employee changes.
Including:
  • Maintain all payroll records and vacation/sick time accrual.
  • Coordinate year-end W2 form processing and distribution.
  • Verify 403B contribution records.
  • Verify and reconcile all State and Federal payroll tax forms and reports
  • Work closely with Human Resources manager for all personnel, benefit, and payroll changes.
  • Prepare all grant invoicing required supporting documentation. This includes and is not limited to compiling payroll data and supporting documents, AP records, and GL transaction reports.
  • Reconcile all donations, sponsorship, pledges, and other forms of contributions with Fund Development records to ensure proper revenue recognition.
  • Reconcile month-end corporate credit card transactions to ACH withdrawal by credit card company.
  • Reconcile all Balance Sheet accounts related to Accounts Payable, Payroll Liabilities and Accounts Receivable accounts.
  • Reconcile monthly postage usage.
  • Prepare Journal Entries as needed.
  • Prepare and coordinate all necessary records for Worker's Comp annual audit.
  • Assist with annual outside financial audits including and not limited to data analysis, providing support documentation for all AR, AP, GL, and Bank Reconciliation transactions.
  • Prepare quarterly and annually required government forms.
  • Prepare Sales and Use Tax returns.
  • Perform other accounting duties as assigned, including cross training on other positions in the department.
QUALIFICATIONS
  • BS in accounting preferred but not required.
  • Non-profit experience is a bonus.
  • Seven years or more of experience.
  • Demonstrated knowledge with automated accounting systems (Intacct preferred), expense management system (Ramp preferred), and online payroll system (Paylocity preferred).
  • Comfortable with Microsoft Office applications.
  • Must be an intermediate level user with Excel.
  • Strong organizational skills, initiative-taking, accuracy and attention to details. Ability to prioritize and juggle multiple tasks.
  • A strong team player with a service orientation and effective communication skills.
Demonstrated knowledge with automated accounting systems ( Sage Intacct preferred ), expense management system (Ramp preferred ), and online payroll system (Paylocity preferred). Physical Demands and Work Environment Frequent stand/walk, sit, use a computer; use a telephone, grasp lightly/fine manipulation. Occasionally reach/work above shoulders, twist/bend/stoop/squat, grasp forcefully, lift/carry/push/pull objects that weigh up to ten pounds, write by hand, sort/file paperwork. Hours and Compensation This is a 40-hour per week, benefitted full-time non-exempt position. Standard work hours are Monday through Friday, 8:30 a.m. to 5:00 p.m. The role requires a minimum of four days onsite each week, with the option for one hybrid workday. The current pay range is $77,146 - $81,206.5 per year. All requirements are subject to possible modification to reasonably accommodate individuals with disabilities.
