Must understand the unique financial landscape of the construction industry. If you know your way around WIP (Work in Progress) reports, job costing, and payroll like the back of your hand, we want you. You will own our accounting lifecycle—from tracking project costs to managing accounts receivable, processing payroll, and ensuring our monthly reconciliations and taxes are flawless. (Systems used now are Mac, QB, Pavement Soft, Hubspot & are open to changes)
Responsibilities A/R & Billing:
Manage the Accounts Receivable lifecycle, including progress billings, AIA invoicing, collections, and lien releases.
WIP & Job Costing:
Track, analyze, and update Work in Progress (WIP) schedules. Ensure accurate allocation of materials, equipment, and labor costs to specific paving projects.
Payroll Processing:
Manage weekly/bi-weekly payroll for field and office staff, including certified payroll reporting (if applicable) and tracking union/non-union benefits.
Monthly Reconciliations:
Perform full-cycle monthly closings, reconciling bank accounts, credit cards, and subsidiary ledgers.
Tax Compliance:
Prepare and file local, state, and federal construction-related taxes (sales/use tax, payroll taxes, and coordination with our CPA for annual income taxes).
Financial Reporting:
Provide ownership with clear, accurate monthly financial statements, wips, cash flow analysis, and budget-to-actual reports. Conduct balance sheet reconciliations and bank reconciliations regularly to verify account accuracy and identify discrepancies promptly. Perform financial analysis and cash flow analysis to support budgeting, forecasting, and strategic decision-making initiatives. Ensure compliance with SOX (Sarbanes-Oxley Act) controls and assist with internal audits to uphold financial integrity. Support regulatory reporting requirements including tax filings, securities law adherence, and governmental accounting standards. Mentor junior accounting staff by providing guidance on technical accounting issues such as accrual accounting, double entry bookkeeping, and account analysis. Assist with special projects related to financial software implementation or upgrades (e.g., QuickBooks) and streamline accounting processes for efficiency. Maintain thorough documentation of all financial transactions, journal entries, and audit trails for transparency and audit readiness.
Qualifications Experience:
Minimum of 3-5 years of full-charge accounting experience, specifically within the construction or paving industry (required).
Software Savvy:
Advanced proficiency in construction accounting software (e.g., Mac, QuickBooks Online, Pavement Soft, Hubspot) and all Mac programs.
Core Knowledge:
Deep understanding of construction accounting principles, specifically revenue recognition and WIP schedules.
Attributes:
Highly organized, detail-oriented, and able to work independently in a fast-paced small-office environment. Proven experience as an in-house accountant with a strong background in accounting environments. Demonstrated expertise in financial report writing, interpretation of financial statements, balance sheet reconciliation, and account reconciliation processes. Strong understanding of regulatory requirements such as SOX compliance and governmental reporting standards. Experience with tax preparation and tax experience related to corporate finance or business organizations is highly desirable. Excellent analytical skills with the ability to perform detailed financial analysis including cash flow forecasting and budget management. Effective mentoring abilities to guide team members on best practices in bookkeeping, journal entries, debits & credits, and general ledger management. Exceptional attention to detail combined with strong organizational skills; ability to manage multiple priorities efficiently.
