This role is critical to maintaining project documentation, subcontractor compliance, accounts payable processing, and overall project administration. We are looking for someone who thrives in a fast-paced construction environment, enjoys working with both project and accounting teams, and takes pride in keeping projects organized, compliant, and on track. ResponsibilitiesProject Coordination Maintain and organize project documentation, including RFIs, submittals, meeting minutes, and project logs Coordinate document distribution between project teams, consultants, subcontractors, and clients Track subcontractor compliance requirements, insurance certificates, contracts, and lien waivers Maintain procurement logs and assist with material tracking Schedule meetings and support project communications Prepare meeting agendas, minutes, and project reports Support project closeout documentation and turnover packages Maintain organized digital and physical project files Accounting & Administrative Support Process accounts payable invoices and assist with payment tracking Review and organize subcontractor pay applications and supporting documentation Assist with vendor setup and compliance verification Support job cost tracking and project financial reporting Coordinate with project managers and accounting personnel to ensure accurate project records Assist with administrative tasks that support project execution and financial management Qualifications Associate's or Bachelor's degree in Construction Management, Accounting, Business Administration, or related field preferred 2+ years of experience in construction administration, project coordination, accounting, or a related role Experience working in commercial construction environments preferred Knowledge of accounts payable processes and construction documentation Proficiency with Microsoft Office, particularly Excel Experience with construction management and accounting software preferred What We're Looking For Strong organizational and multitasking abilities Excellent attention to detail and accuracy Strong communication and interpersonal skills Ability to prioritize work and meet deadlines Professional, proactive, and solution-oriented mindset Ability to work effectively with project teams, subcontractors, vendors, and clients Commitment to accountability and continuous improvement Why Join Ascent Construction Group?
