Position Summary The Senior QuickBooks Advisory Specialist (Client Services) is responsible for overseeing the daily operations of the bookkeeping department, ensuring the consistent delivery of high-quality accounting services to clients. This role serves as the primary liaison between firm leadership and the bookkeeping team, providing guidance, oversight, and technical expertise in QuickBooks Online and Generally Accepted Accounting Principles (GAAP). They will lead by example, support and develop staff, enforce standard operating procedures, and ensure that all client accounts are maintained accurately, timely, and in accordance with firm standards. This position also plays a key role in onboarding new clients, facilitating complex account cleanups, and supporting advanced accounting and reporting needs. Key Responsibilities Department Oversight & Team Leadership Supervise and support Bookkeepers and Accounting Clerks in their daily responsibilities Serve as the primary point of contact between ownership and the bookkeeping team Review workflows to ensure efficiency, accuracy, and adherence to firm standards Monitor workload distribution and ensure deadlines are met Provide ongoing coaching, training, and performance feedback to staff Assist with hiring, onboarding, and development of team members Client Service & Account Oversight Oversee client engagements to ensure accuracy, completeness, and timeliness of all deliverables Review reconciliations, financial statements, and supporting documentation as needed Step in to assist with complex or high-priority client accounts Ensure consistent application of firm processes across all client files Maintain client relationships through professionalism and responsiveness Technical Expertise & Compliance Serve as the firm's internal resource for QuickBooks Online troubleshooting and best practices Ensure all work is performed in accordance with GAAP and firm policies Understanding of key accounting differences across industries, with the ability to interpret and apply industry-specific financial practices, regulatory requirements, and reporting standards. Stay current on accounting regulations, and QuickBooks updates Research and resolve complex accounting issues Provide guidance on proper accounting treatment and classifications Process Improvement & Quality Control Implement, maintain, and enforce standard operating procedures (SOPs) Identify opportunities for increased efficiency, automation, and process improvement Conduct periodic file reviews to ensure quality control and consistency Lead initiatives to improve accuracy, turnaround time, and client satisfaction Client Onboarding & Cleanup Projects Lead the onboarding process for new clients, ensuring a smooth and organized transition Review incoming records and assess scope of work Perform or oversee cleanup and catch-up bookkeeping projects Establish proper workflows, chart of accounts, and best practices for new clients Qualifications Education & Experience Bachelor's degree in Accounting Minimum of 5-7 years of bookkeeping or accounting experience Minimum of 2-3 years in a supervisory or leadership role preferred Experience in a client service or public accounting environment preferred Technical Skills Minimum of 5-7 years of advanced proficiency in QuickBooks Online (certification required or must be obtained annually) Understanding of GAAP Experience with full-cycle bookkeeping, including reconciliations and financial reporting Proficiency in Microsoft Office (Excel, Outlook, Word) Core Competencies Leadership and team management skills Attention to detail and organizational ability Problem-solving and analytical skills Communication skills, both written and verbal Ability to manage multiple priorities and meet dead lines High level of integrity and professionalism Work Environment & Schedule Full-time, in-office position Business hours are Monday through Friday, 9:00 AM - 5:00 PM Compensation & Benefits Salary commensurate with experience Benefits include: 401(k) with employer match Health, dental, and vision insurance (100% employer-paid health insurance) Short-term and long-term disability insurance Life insurance PTO and paid holidays Additional Expectations Maintain strict confidentiality of client financial information Uphold the firm's commitment to accuracy, responsiveness, and professionalism Support a collaborative, team-oriented work environment Demonstrate a commitment to continuous learning and improvement.
