Job Description:
An industrial REIT is looking for a Lease Administrator to join their operations team. This role will be responsible for maintaining and administering lease activity across the company's portfolio, ensuring the accuracy of all lease documents, financial records, and tenant data. Working closely with Asset Managers, Regional Managers, and cross-functional teams including Legal, Credit, and Accounting, you will play a key part in keeping lease information, reporting, and billing processes running accurately and on time. Duties and Responsibilities Assist Regional Managers and Asset Managers with lease analysis and interpretation of lease terms and provisions, and support the preparation and distribution of periodic and ad hoc reports in an accurate and timely manner Review QuickBase and Realogic for accuracy of portfolio and leasing information, including square footage, leasing assumptions, critical dates, and capital costs Coordinate with Credit and Legal to ensure tenant name changes, subleases, and assignment agreements are properly reflected in MRI; create, link, maintain, and update CAM pools and tenant recovery amounts accordingly Maintain tenant Letter of Credit information in MRI; prepare LOC reports for Legal review and distribute to Accounting on a quarterly basis Provide tenant information to the third-party insurance broker to maintain records in the Pipino database, and collaborate with the third-party Risk Management team on dispositions, new lease activity, and occupancy changes Generate and review monthly leasing activity reports, including the MRI Leasing Activity report, Other Contracts list, Solar Summary list, and Early Terminations report; distribute to Asset Managers for approval and circulate to the EVP of Real Estate Operations and Legal for signatures Prepare the NNN lease analysis report for the annual ESG submission and distribute to Capital Markets and Investor Relations Prepare and review Lease Approval Summaries and Lease Abstracts for accuracy; input and maintain all pertinent lease information in MRI and generate Lease Abstract Verification packages for stakeholder review and approval Prepare and distribute New Transaction Announcements and final Lease Approval Summaries upon lease execution; upload and manage lease documents in Leverton and the SILO shared document system Generate FASB-13 straight-line reports in MRI, incorporate rent adjustments for newly executed leases, and enter updated GAAP figures for Lease Administration Manager review Generate and assist in the review of monthly rental invoices prior to accounts receivable billing; monitor billing terms for tenants in month-to-month and holdover statuses and review late fee notices and miscellaneous charges for Accounting Identify and calculate CPI rent adjustments in accordance with lease terms; update monthly charges in MRI and Realogic and post CM adjustments in QuickBase as applicable Complete MRI billing for year-end CAM reconciliations and tenant move-outs following the applicable review and approval process Prepare and review MRI audit trail reports on a quarterly basis and distribute to Accounting Review leases to determine responsibility for capital projects; prepare initial and final amortization schedules and update MRI and Realogic upon project completion Qualifications Bachelor's degree Minimum of 5 years of commercial real estate experience Experience with MRI or comparable lease administration software preferred Strong organizational and administrative skills with exceptional attention to detail Excellent written and verbal communication skills Ability to manage multiple priorities and meet deadlines in a fast-paced environment Self-motivated with the ability to work independently and as part of a team Proficiency in
