Job Description

Job Summary:
The Accounting & Administrative Clerk is responsible for supporting the day-to-day accounting, customer service, and administrative functions of the organization. This position primarily focuses on accounts receivable activities, including invoicing, payment processing, account maintenance, and customer communications, while also providing support for order processing, front office operations, and customer service. The ideal candidate is detail-oriented, highly organized, and capable of managing multiple priorities in a fast-paced environment while maintaining accuracy and professionalism.
Reports to:
Senior Accountant Duties/Responsibilities:
  • Manage accounts receivable functions, including processing deposits, posting shipments, generating invoices, filing, processing customer payments, monitoring aging reports, issuing statements and credits, processing RMAs (Return Material Authorizations), and maintaining customer organization IDs.
  • Process website orders, credit card payments, and customer refunds.
  • Generate and process direct sales invoices.
  • Collaborate with Sales, Shipping, and Production teams to ensure accurate order processing and customer satisfaction.
  • Serve as backup support for entering online orders.
  • Serve as backup support for answering phones as needed and during peak business periods.
  • Greet customers and visitors in a professional and courteous manner and assist with inquiries.
  • Maintain accurate accounting and customer records.
  • Perform other administrative and accounting duties as assigned.
Required Skills/Abilities:
  • Strong written and verbal communication skills.
  • High level of attention to detail and accuracy.
  • Solid understanding of basic bookkeeping principles and accounts payable/accounts receivable processes.
  • Strong customer service skills.
  • Excellent data entry and organizational skills.
  • Ability to prioritize tasks and manage workflow to meet deadlines.
  • Proficiency with ERP systems and Microsoft Office applications, particularly Excel.
Education and Experience:
  • High school diploma or general education degree (GED) is required.
  • 2+ years of accounting experience preferred.
  • Expereince in handling CRM software and other computer software such as MS Word, Outlook, and Excel.
Physical Requirements:
  • Ability to lift up to 50 lbs. throughout the shift.
  • Extended periods of standing and walking.
  • Ability to move/lift product while bending, rotating, or raising arms above shoulders.
Pay:
$24.00 - $28.00 per hour
