Job Description

POSITION TITLE
Accounting and Finance Coordinator
REPORTS TO
Director of Accounting and Finance
POSITION SUMMARY
Performs duties to coordinate e?cient maintenance, documentation and processing of accounting functions, including deposits, journal entries, tax allocations; coordinates all external audits; enters banking "positive pay" for both accounts payables and payroll to maintain internal controls division; maintains online payment systems; and prepares all reports as requested/required.
FUNCTIONS OF THE JOB
Essential Functions Reconciles financial data for the purpose of maintaining accurate account balances and ensuring compliance with established accounting and grant procedures. Responsible for all administrative functions for the online payment systems (currently RevTrak and Vanco) and events. Performs a wide variety of accounting procedures, techniques and calculations, fund transfers and budget addenda for the District. Balances budget entries to current budget and reviews data for discrepancies on budget entries. Enters budget data in the accounting system. Analyzes, accurately codes, and distributes all property tax deposits. Prepares monthly financial reports to the board for review by supervisor and CFO. Performs monthly bank account reconciliation procedures for all accounts and entries. With the supervisor, maintain the district's general ledger system utilizing Department of Elementary and Secondary Education account coding (project codes, fund, function, object, source, etc.). Prepares and reconciles data for the Annual Secretary of the Board Report (ASBR). Prepares monthly journal entries in preparation for month-end closing. With the supervisor, assists with coordinating all external financial audits including pre-audit preparation, auditor coordination, and preparation of the financial statements. Analyze and correct coding discrepancies related to payroll, accounts payable, or Visa transactions within the district. Monitors financial information, files and records (e.g. payroll records, purchase orders, invoices, accounts payable warrants, shipment verification, expense reports) for the purpose of ensuring the availability of documentation and compliance with established policies and regulatory guidelines. Monitors a variety of items (e.g. payroll, purchasing card requests and allocations, account balances and related financial activity, day checks, large vendor accounts, expense reports, etc.) for the purpose of ensuring that allocations are accurate and complying with established financial practices. With the Director of Accounting and Finance, supervises the grant accounting functions of the Accountant. All other duties as may be assigned. Responsibilities include working under limited supervision following standardized practices and/or methods; providing information and/or advising others; operating within a defined budget. Utilization of some resources from other work units is often required to perform the job's functions. There is a continual opportunity to have some impact on the organization's services. Work Environment The usual and customary methods of performing the job's functions require the following physical demands: some lifting, carrying, pushing, and/or pulling, some stooping, kneeling, crouching, and/or crawling and significant fine finger dexterity. Generally the job requires 70% sitting, 15% walking, and 15% standing. This job is performed in a generally clean and healthy environment.
Experience:
Job related experience with increasing levels of responsibility is desired. Education (Minimum): Bachelor's Degree in accounting or related field.
