Job Description

We are searching for an energetic and motivated professional to join the TCS team. Transportation Compliance Services, USA (TCS USA) is a leading provider of custom transportation compliance and risk management consulting services assisting motor carriers maintain compliance with state and federal transportation regulations. The Staff Accountant is an Administrative Division employee in the Business Office who reports directly to the CFO. This professional accounting position has structured procedures, making it ideal for a recent accounting graduate to gain practical experience. The Staff Accountant is ultimately tasked with inputting specified invoicing and bookkeeping data and managing general QuickBooks accounting processes. The Staff Accountant is a critical part of the internal TCS financial workflow and accountability system. The Staff Accountant helps ensure the Business Office keeps accurate records of customer billing, accounts payable, and accounts receivable. Duties and responsibilities primarily include providing clerical support for one other accountant and the CFO. The Staff Accountant position is full time with a 40 hour work week and is needed to work during regular business hours. The Staff Accountant is a direct hire position requiring a high standard of integrity, self-motivation, verbal and written communication skills with staff and customers, organizational skills, and a strong work ethic.
Essential Duties, Responsibilities & Functions:
Primary Duties and Responsibilities:
Bookkeeping and Data Entry into QuickBooks Interacting with customers by phone and email to resolve invoicing issues Running monthly invoicing Accounts Receivable (A/R) involving checking the Post Office box daily and recording customer payments Populating Google Drive folders and working inside the Google Business Platform Communicating with Account managers regarding their assigned customer balances Assisting in answering customer phone calls for financial or accounting assistance Emailing copies of invoices upon request. Mailing and emailing monthly customer statements Verifying data and quality control for various billing processes, both internally (billing to our clients) Assisting with Billing Day (The first of every month) with running billing cycle for the month, folding invoices, preparing envelopes, and mailing and emailing invoices Secondary Duties and Responsibilities (may be asked to): Assists in the monitoring of various TCS databases and reporting systems Run Credit Cards and Process ACH payments Attends staff meetings regularly and may include occasional out of town meetings Develops, analyzes, and prepares reports as needed Secondary Duties and Responsibilities (may be asked to): Assists in the monitoring of various TCS databases and reporting systems Run Credit Cards and Process ACH payments Attends staff meetings regularly and may include occasional out of town meetings Develops, analyzes, and prepares reports as needed
Knowledge:
General accounting principles and practices Understanding of QuickBooks functions and platform Working knowledge of Microsoft Office products and communication tools, including specifically Excel, that are commonly used in contemporary small business environments Project management principles and multi-tasking skills involved in strategic planning for multiple responsibilities
Skills:
Proficient, accurate, and appropriate writing skills Customer service mindset and strategies Ability to work with all levels of an organization including people with different styles and backgrounds; ability to present alternatives and recommendations. Common business computer skills Talking with others to convey information effectively with professionalism and courtesy Understanding how to set priorities while managing multiples assignments
Abilities:
Work at a desk environment in an office Learn new concepts and functions while being trained on the job Communicate information and ideas in writing so others will understand Work independently of support for extended periods of time Prerequisites Recommended three years' experience performing relevant work in customer service or accounting.
