Job Description Summary:
Responsible for performing a variety of accounting and administrative functions related to capital projects, purchases, and grant-funded activities. This position ensures the accuracy and completeness of capital purchase requests, maintains up-to-date tracking of all capital expenditures, and assists in capital grant reimbursement processes. Employee is subject to call back as required by the hospital.
ESSENTIAL JOB FUNCTIONS
Reviews capital purchase requests for correctness and completeness, ensuring that quotes match dollar amounts, vendors, fund codes, and general ledger (GL) codes. Issues fund codes for new capital projects and a final review to verify that all required documentation is included and that the request has routed to the appropriate reviewers. Closes out purchase requests following purchase order (PO) issuance and maintains organized records for audit and reporting purposes. Monitors and tracks all capital purchases throughout the month, ensuring completeness and accuracy of information needed for the month-end close and upload process. Assists with grant reimbursement requests on capital grants, including tracking expenditures, preparing reconciliations, and maintaining supporting documentation. Provides additional documentation requested by the State of Tennessee related to capital grants and ensures that reimbursement requests are submitted promptly to minimize processing delays. Submits property tax invoices for payment and maintains accurate personal property tax accrual schedules along with a monthly journal entry to accrue personal property taxes. Answers general capital and financial questions from other departments and pulls relevant information as needed. Assists with auditing construction-in-progress (CIP) accounts to ensure proper tracking and accounting of construction projects. Communicates effectively with departments to explain and reinforce capital processes and procedures, occasionally requiring assertiveness to ensure compliance with established policies and timelines. Demonstrates a willingness to learn and understand federal and state grant guidelines and apply them accurately in daily work. Contributes to a positive work climate and the overall team effort of the department. Performs related responsibilities as required or directed.
JOB SPECIFICATIONS
EDUCATION:
Skill and proficiency in the principles, concepts and techniques of the Accounting profession. Completion of a baccalaureate degree in Accounting required.
LICENSURE, REGISTRATION, CERTIFICATION
Certification as a CPA is preferred, but not required.
EXPERIENCE
Skill and proficiency in accounting systems, general ledger and financial reporting as normally acquired through one to three years of accounting experience.
