Job Description

Accounting and Administrative Coordinator Reports To:
Controller / Executive Management Position Overview Alpine Overhead Doors is seeking a highly organized Accounting and Administrative Coordinator to manage our day-to-day financial, HR, and administrative operations. This role handles the lifecycle of accounts payable/receivable, payroll, and order processing, while serving as the point person for credit management and compliance.
Key Responsibilities Bookkeeping Accounts Payable & Receivable:
Manage high-volume AP/AR, audit invoices for accuracy, resolve discrepancies, and process weekly payments.
Financial Oversight:
Reconcile bank accounts and sales taxes
Tax & Regulatory:
Fill and file miscellaneous tax forms; manage BOI registration and annual reporting requirements.
Banking:
Retrieve checks and handle daily deposit activities.
Credit & Compliance Management Credit Manager Duties:
Perform customer credit inquiries and evaluations to determine creditworthiness for new and existing accounts.
Tax Compliance:
Manage resale certificate compliance , ensuring all customer certificates are valid, up-to-date, and properly filed to meet audit requirements.
Order Processing & Specialized Record Keeping Order Entry:
Input sales orders into QuickBooks/MRP and verify details with sales and production teams.
Docket System:
Manage and record the company docket number system to ensure seamless project tracking from inception to completion.
Digital Archiving:
Scan all invoices and supporting documents into FileHold , maintaining a rigorous and searchable digital database. HR & Payroll Support Process weekly timesheets, payroll and maintain the employee database. Support job postings, recruitment (reference checks/screening) and assist with onboarding and benefits administration.
Qualifications Experience:
5+ years of bookkeeping experience, ideally in a Manufacturing company.
Technical Skills:
Proficiency in QuickBooks and Microsoft Office; experience with FileHold or similar document management systems is a plus.
Knowledge:
Familiarity with credit reporting, sales tax exemption (resale certificates), and basic HR practices.
Education:
Associate Degree in Accounting, Finance, or equivalent professional experience. Ideal Candidate Attributes Exceptionally detail-oriented with a "compliance-first" mindset. Strong communication skills with vendors and evaluating customer credit. Capable of managing filing systems (Dockets, FileHold, and Tax Records)
