Monday-Friday, 7:30 AM•3:30
PM Pay:
$22.00•28.00 per hour, based on experience Position Summary We are seeking a highly organized and detail-oriented Administrative Accounting Associate to support compliance, billing, customer service, and administrative operations. This role is responsible for maintaining inspector credentials, managing county portal submissions, coordinating information across multiple software systems, supporting invoicing and collections, and providing administrative support to multiple departments. The ideal candidate is proactive, resourceful, and capable of independently resolving issues while maintaining a high level of accuracy and professionalism. Key Responsibilities Serve as a primary point of contact for customers, inspectors, vendors, and county agencies. Answer incoming calls and respond to inquiries regarding scheduling, inspections, billing, and services. Research and resolve customer, billing, and system-related issues. Enter and maintain inspector credentials, certifications, and equipment calibration records within county and municipal portals. Monitor credential expirations and troubleshoot portal access and submission issues. Maintain accurate records across scheduling/work order systems and QuickBooks. Process invoices, support accounts receivable activities, and assist with collections efforts. Investigate and resolve discrepancies between systems to ensure data accuracy. Assist in preparing inspection deficiency proposals and supporting documentation. Draft professional emails, correspondence, and customer communications. Provide administrative support across departments and assist with operational projects as needed. Qualifications Minimum of 3 years of administrative, office coordination, billing, accounting, or customer service experience. Experience with QuickBooks or similar accounting software preferred. Strong computer skills and ability to learn new software systems quickly. Excellent written and verbal communication skills. Strong organizational, problem-solving, and troubleshooting abilities. Ability to manage multiple priorities while maintaining accuracy and attention to detail. Professional, customer-focused demeanor.
