Office Manager Position Summary:
We are a growing small accounting firm in Madison, Indiana seeking a reliable and detail-oriented Full-Time Bookkeeper to join our team. The ideal candidate will manage day-to-day bookkeeping and payroll responsibilities for multiple clients, maintain accurate financial records, and support our accounting staff in delivering high-quality service. This position requires strong organizational skills, attention to detail, the ability to work independently, and professional communication with both team members and clients.
Key Responsibilities:
  • Maintain accurate financial records for multiple client accounts
  • Record daily financial transactions, including accounts payable and accounts receivable
  • Perform bank and credit card reconciliations
  • Process live payroll for client businesses on scheduled payroll cycles
  • Enter after-the-fact payroll information accurately and timely for accounting and tax reporting purposes
  • Prepare and file payroll tax returns, including federal, state, and local payroll tax filings
  • Monitor payroll deadlines to ensure timely deposits and filings
  • Assist with preparation of monthly financial statements and related reports when services are included in the client engagement agreement
  • Assist with month-end and year-end closing procedures, as assigned and consistent with firm service agreements
  • Communicate with clients to request payroll and financial information and resolve discrepancies
  • Maintain organized digital files and documentation
  • Assist accountants with preparation for tax returns and audits, as directed
  • Ensure compliance with applicable regulations, firm policies, and the scope of services defined in client engagement letters
Required Qualifications:
  • Associate's degree in Accounting, Bookkeeping, or related field or equivalent work experience
  • Minimum 2-3 years of bookkeeping and payroll processing experience
  • Strong understanding of basic accounting principles and payroll procedures
  • Experience processing live payroll, after-the-fact payroll, and payroll tax filings
  • Proficiency with accounting software and Microsoft Office
  • Ability to learn and effectively use firm software systems and workflows
  • High attention to detail and accuracy
  • Strong time management and organizational skills
  • Ability to handle confidential financial and payroll information with professionalism
Preferred Qualifications:
  • Experience working in an accounting firm or managing multiple client accounts
  • Experience with Thomson Reuters CS Professional Suite, including: o UltraTax CS o Accounting CS o Practice CS o Fixed Assets CS
  • Familiarity with GoFileRoom or similar cloud-based document management systems
  • Experience working with QuickBooks Online and supporting clients using cloud-based accounting systems
  • Proficiency with Microsoft Office 365, including Outlook, Excel, Word, and Teams
  • Working knowledge of Microsoft Excel, including accurate data entry into pre-formatted spreadsheets, reviewing calculated totals, and generating basic financial reports
  • Ability to follow established spreadsheet workflows where data is entered in one location and automatically summarized into reports such as income and expense statements
  • Strong client communication and customer service skills
Work Schedule and Work Environment:
  • Our firm follows a seasonal work schedule that reflects the demands of the tax and accounting profession. January 1 through May 31 (Peak Tax Season):
  • Standard office hours are Monday through Friday, 8:00 a.m. to 5:00 p.m.
  • Additional hours, including occasional Saturdays and overtime, may be required during peak tax season and payroll deadlines
  • Employees are expected to be flexible and dependable during this busy period to meet client service and filing requirements June 1 through December 31 (Off-Season):
  • Standard office hours are Monday through Friday, 8:00 a.m. to 4:00 p.m.
  • Overtime is generally not required during this period
  • This schedule reflects our commitment to providing a balanced and sustainable work environment outside of peak season
Work Environment and Attendance Expectations:
  • This position is primarily in-office, and employees are expected to work on-site at our Madison, Indiana office
  • Consistent attendance, punctuality, and reliability are essential to meet client service and regulatory deadlines
Remote Work Consideration:
  • Limited remote work opportunities may be considered after the employee has demonstrated proficiency in firm procedures, reliability, and the ability to work independently
  • Employees are typically expected to complete an initial training and integration period of approximately one to two years in the office before remote work arrangements are evaluated
  • Any remote work arrangement is subject to management approval and ongoing performance expectations

  • This position is a full-time salaried role, with compensation based on the candidate's experience, education, and demonstrated skills
