At-Will 2. Position Summary The Accounting Associate/Bookkeeper is responsible for the financial management of Accounts Payable, Accounts Receivable & Miscellaneous accounting operations. This role works closely with the CFO, Executive Director & department Managers. 3. Primary Responsibilities Financial Management & Accounting Maintain and oversee the general ledger and accounting systems for VYSA. Prepare and review journal entries, accruals, and financial reconciliations. Ensure accurate financial reporting across all VYSA programs and departments. Maintain subsidiary ledgers and ensure alignment with balance sheet accounts. Monitor revenue and expenditure to ensure financial integrity across programs. Provide financial analysis and reporting to program managers as needed. Assist leadership with financial forecasting and long-term financial planning. Budgeting & Financial Planning Assist with the preparation of the annual organizational budget. Work with department leaders to ensure program budgets are developed accurately. Monitor expenditures throughout the year to ensure compliance with approved budgets. Accounts Payable & Accounts Receivable Accounts Payable Oversee accounts payable processing and ensure vendor payments are completed accurately and on time. Review payable transactions including corporate credit card expenditures. Resolve complex vendor payment or invoicing issues. Ensure vendor payments are processed within established payment terms. Resolve payment discrepancies and vendor issues promptly. Accounts Receivable Maintain accurate receivable records for all VYSA programs and operations. Work closely with internal departments to ensure timely invoices and collection. Monitor outstanding receivables and support collection processes when needed. Credit Card Reconciliation & Checks Reconcile credit card accounts and statements monthly. Ensure every transaction is business related and recorded properly. Manage returned checks and ACH's. Miscellaneous Duties Track asset capitalization for depreciation. Ensure proper classification of purchases as inventory, assets, or operating expenses. Reconcile physical inventory with financial records to present applicable documentation to auditors. Oversee preparation and distribution 1099 forms. Assist with special projects and organizational initiatives as assigned by the Executive Director or CFO. Participate in organizational planning and administrative improvements. Support operational needs that advance the mission of VYSA. Ensure accurate record keeping and documentation. Support administrative processes that improve organizational efficiency. Work collaboratively with staff, volunteers, vendors, and member organizations. 4. Key Performance Indicators (KPIs) Accounting Associate/Bookkeeper will be evaluated based on the successful execution of financial management, reporting accuracy, administrative efficiency, and organizational compliance. Audit & Compliance Assist with successful completion of the annual independent audit with no material weaknesses or major findings. Ensure accurate preparation and filing of nonprofit tax documentation 1099 reporting. Maintain compliance with nonprofit financial regulations and internal policies. Maintain and strengthen internal financial controls to protect organizational assets. 5.
