Job Description

Position Summary:
We are a growing accounting firm specializing in tax preparation and planning, currently composed of 20+ people spread across two offices. Currently seeking an organized and proactive Administrative Director to oversee the day-to-day operations of both offices (Herndon and Bethesda). You will be the "glue" that holds the firm together, managing our administrative team, overseeing facilities, handling HR functions, and ensuring our professional staff has the support they need to serve our clients.
Key Responsibilities:
Staff Management:
Supervise, train, and mentor the administrative support team (currently 3 staff members). Manage admin staff schedules, time-off requests, and workflow distribution to ensure coverage. Plan and coordinate firm culture events (team lunches, post-tax season celebrations, holiday parties).
Office Facilities & Logistics:
Oversee facility management for both Herndon and Bethesda locations (coordinating with building management and vendors). Manage relationships with vendors (IT support, office supplies, software providers) to ensure cost-effectiveness. Monitor office supply inventory and equipment maintenance; troubleshoot minor tech issues before escalating to IT.
Daily Administration:
Refine internal administrative processes (e.g., client intake, document management, workflow) to improve efficiency. Work closely with management team to complete year-end, reoccurring and special projects. Ensure the firm remains compliant with state/local business licenses and insurance requirements. Oversee and assist in administrative related tasks such as processing client documents, overseeing tax workflow, sending draft tax returns and e-file processing.
Qualifications:
5+ years of experience in office management or administration, preferably in a professional services setting (CPA firm, Law firm, or Financial Planning). Proven experience supervising or leading a small team. Strong technical proficiency (Microsoft Office 365, Adobe Acrobat); familiarity with tax/accounting software (e.g., Thomson Reuters CS Products, QuickBooks) is a major plus. Excellent written and verbal communication skills—you will be representing the firm to clients and vendors.
Requirement:
Physical presence in the Herndon office during business hours of M-F, 9AM-5PM, with travel to Bethesda as needed (2-3 times per month).
