This is a hands-on role for someone who can help keep daily business details organized as the company builds its operating systems. The position will support AP, AR, vendor setup, customer billing, job cost coding, ERP setup, payroll coordination, document control, and project cost reporting. The right person will create order, protect accuracy, follow up on loose ends, and help prevent administrative work from becoming operational drag. Primary Responsibilities Job Cost and Cost Code Support
- Support the setup and maintenance of job numbers, cost codes, cost types, project phases, and work breakdown structures.
- Help ensure vendor invoices, purchase orders, labor entries, materials, subcontractor costs, and other expenses are coded correctly.
- Assist with job cost reports, estimate-to-actual tracking, open cost issues, and project cost summaries.
- Identify coding errors, missing backup, duplicate charges, and inconsistent cost treatment.
- Coordinate with operations, estimating, procurement, and leadership to improve job-cost discipline. Accounts Payable and Vendor Administration
- Receive, organize, review, and route vendor invoices for approval.
- Match invoices to purchase orders, receiving records, delivery backup, and agreed payment terms where applicable.
- Maintain vendor records, W-9s, ACH or wire information, insurance certificates, and payment documentation.
- Track open payables, deposits, progress payments, retainage, and major equipment payment schedules.
- Support weekly cash planning with accurate AP status information. Accounts Receivable and Customer Billing
- Assist with customer invoices, billing schedules, backup documentation, and contract support.
- Track open receivables, payment status, and customer follow-up items.
- Maintain invoice files, change order backup, billing support, and payment records.
- Support billing reviews with leadership and project teams. ERP, Accounting System, and Process Support
- Support implementation and cleanup of ERP and accounting systems, including the chart of accounts, dimensions, job numbers, cost codes, customers, and vendors.
- Help document repeatable workflows for AP, AR, purchasing, payroll support, and job cost reporting.
- Assist with data entry, system testing, report validation, reconciliations, and cleanup of temporary trackers.
- Help maintain practical Excel tools while permanent systems are being built. Payroll and Labor Tracking Support
- Support payroll preparation, timekeeping records, labor coding, and employee documentation as the company grows.
- Help ensure labor hours are coded correctly to jobs, indirect accounts, overhead, and administrative categories.
- Coordinate with payroll providers, accounting partners, HR support, and ERP resources as needed. Document Control and Administrative Support
- Maintain organized records for AP, AR, vendors, customers, purchase orders, invoices, approvals, insurance documents, contracts, and job files.
- Support leadership with administrative tracking, follow-up lists, document routing, and issue logs.
- Maintain shared file structures, naming conventions, approval workflows, and version control.
- Assist with compliance documentation, audit support, insurance backup, and customer or vendor documentation requests. Required Qualifications
- Experience in accounting support, bookkeeping, job costing, project administration, AP, AR, payroll coordination, or business operations.
- Strong Excel skills, including tables, formulas, filters, basic lookups, and practical reporting.
- Ability to work with cost codes, account numbers, job numbers, vendor records, and transaction detail.
- Strong organization, follow-up, and attention to detail.
- Ability to work in an early-stage operating environment where systems are still being built.
- Ability to handle confidential business, payroll, vendor, customer, and financial information.
- Clear written and verbal communication skills. Preferred Qualifications
- Experience in manufacturing, construction, shipbuilding, fabrication, marine repair, industrial services, or project-based accounting.
- Familiarity with job cost accounting, purchase orders, progress billing, retainage, labor allocation, overhead, and estimate-to-actual reporting.
- Experience with Sage Intacct, QuickBooks, NetSuite, Foundation, Viewpoint, CMiC, Spectrum, Procore, or similar systems.
- Experience supporting payroll, timekeeping, labor allocation, employee records, or ERP implementation.
Working Environment This role is primarily office-based and supports an industrial fabrication and shipbuilding business. The position will interact with leadership, project teams, production personnel, vendors, customers, and outside accounting or payroll partners. The role may require periodic time in or near production areas to review documents, clarify coding, or coordinate with operations. Physical Requirements
