This full-time position is ideal for an organized professional who enjoys a variety of responsibilities, including accounting, administrative support, customer service, and office operations. The successful candidate will play a key role in supporting the day-to-day functions of the company while working closely with management and multiple departments in a fast-paced manufacturing environment. Responsibilities Process and maintain Accounts Receivable (A/R) and Accounts Payable (A/P) records. Review, verify, and enter vendor invoices accurately and timely. Prepare customer invoices and assist with collections and payment follow-up. Reconcile vendor statements and resolve invoice discrepancies. Assist with monthly account reconciliations and financial recordkeeping. Process credit card receipts and maintain supporting documentation. Answer and direct incoming phone calls and greet visitors professionally. Perform data entry and maintain accurate electronic and paper records. Maintain employee files and assist with onboarding paperwork. Assist with payroll preparation and timekeeping administration. Order and maintain office, breakroom, and shop supplies. Coordinate incoming and outgoing mail, packages, and deliveries. Schedule meetings, appointments, and conference calls as needed. Prepare reports, spreadsheets, and correspondence using Microsoft Office applications. Assist with maintaining company certifications, licenses, and compliance records. Support Human Resources activities, including recruiting, employee documentation, and benefits administration. Assist with customer service inquiries and vendor communications. Maintain filing systems and ensure records are organized and up to date. Provide administrative support to management, accounting, production, quality, and engineering departments as needed. Assist with special projects and perform other duties as assigned. Qualifications High school diploma or equivalent required; degree in accounting, Business Administration, or a related field preferred. Minimum of 1 year of experience in accounting, bookkeeping, accounts payable, accounts receivable, or office administration preferred. Experience with QuickBooks. Proficiency in Microsoft Office applications, including Excel, Word, Outlook, and Teams. Strong data entry skills with a high level of accuracy and attention to detail. Basic understanding of accounting principles, financial records, and reconciliation processes. Ability to maintain confidential and sensitive information with professionalism and discretion. Excellent organizational, time management, and multitasking abilities. Strong verbal and written communication skills. Ability to prioritize tasks, meet deadlines, and work independently with minimal supervision. Professional demeanor and customer service skills when interacting with employees, customers, and vendors. Strong problem-solving skills and ability to identify and resolve discrepancies. Dependable, self-motivated, and willing to learn new processes and responsibilities. Ability to work effectively as part of a team in a fast-paced manufacturing environment. Previous experience in manufacturing or aerospace environment is a plus. Bilingual (English/Spanish) is a plus but not required.
