Affimedix is redefining Point-Of-Care Diagnostics for small molecule biomarkers using its game-changer Immuno-Sandwich Test technology.
OVERVIEW / BASIC FUNCTION
The Administrative & Accounting Assistant to the CEO and Vice President is responsible for providing comprehensive office administration, operational and accounting support. This role ensures efficient management of executive priorities, facilitates communication across departments, and supports the successful execution of business activities.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Executive Office Administration:
  • Organize and coordinate office operations and procedures.
  • Contact person for the Purchasing, Invoicing, maintenance, shipping, supplies, and equipments.
  • Manage relationships with suppliers, vendors and service providers, ensuring all items are invoiced and paid for on time.
  • Manage contract and price negotiations with office vendors and service providers.
  • Design and ensure filing systems are maintained and current.
  • Ensure security, integrity and confidentiality of data.
  • Support customer inquiries and complaints.
  • Support all Divisional Managers. Accounting Assistant
  • Manage accounts payable and receivable activities.
  • Handle invoices, payments, and account reconciliations.
  • Handle financial reporting and month-end close.
  • Respond to supplier, vendor and customer billing inquiries.
  • Ensure compliance with accounting procedures and internal controls.
  • Conduct balance sheet reconciliations and account analysis to verify data integrity and identify discrepancies
  • Support month-end and year-end closing activities, including account reconciliations.
Experience, Qualifications & Skills:
  • 3-5 years of administrative and accounting experience, supporting top executives, preferably in a fast-paced healthcare environment.
  • Minimum BA or BS degree.
  • Experience in Business Accounting and QuickBooks is highly desirable.
  • Strong knowledge of accounting principles, including GAAP accounting practices
  • Experience in accounts payable/receivable processes, account reconciliation techniques, and journal entry preparation.
  • Planning, Organization and Time management.
  • Ability to work proficiently with minimal supervision
