Accounting Administrator Hilco Development Services Long Beach, CA Job Details Full-time $23 - $25 an hour 1 day ago Benefits Health insurance Dental insurance 401(k) Paid time off Vision insurance 401(k) matching Qualifications Accounting experience within construction industry Google Workspace High school diploma or GED QuickBooks Online QuickBooks Organizational skills Tax return processing Productivity software Account reconciliation Full Job Description Accounting Administrator Reports To Head of Operations Job Overview The Accounting Administrator assists & supports the Operations team in performing administrative functions such as assisting in transmitting of documents to/from Client/Subs/Suppliers/etc, perform daily accounting tasks such as monthly financial reporting, general ledger entries, and record payments and adjustments, and other duties as assigned by the Head of Operations or the Operations management team. Responsibilities and Duties Assist with filing and mailing Set up, update and manage projects on ClickUp, Google Drive, GC Pay, Procore and QuickBooks Online Follow up with vendors, subcontractors and project owners as needed regarding invoicing, payments, vendor onboarding and compliance documentation Monitor and triage the billing inbox, pulling invoices and submitting them into the AP system for approval, coordinating with project managers on proper coding and timely input, and escalating issues as necessary Work with the project management and operations teams to prepare monthly client billings Serve as the primary point of contact for vendor and subcontractor inquiries, resolving invoice issues and payment concerns in a timely and professional manner Assist with employee expense reimbursements and credit card expense processing, identifying and resolving coding issues Support the project management and accounting teams with data entry, including inputting payroll costs to projects, entering invoices, and updating compliance trackers Coordinate with the project management team to ensure all transactions are properly coded to the correct projects to support external job costing Prepare preliminary notices and manage lien tracking, escalating to the appropriate managers as needed Manage petty cash, including tracking usage in QuickBooks Online and the petty cash box, coordinating disbursements with approved requestors, and ensuring all transactions are properly accounted for Track money movement and payments in the appropriate trackers to support the external bookkeeping team's reconciliation process, and serve as the primary liaison between the bookkeeping team and internal staff Assist in building and pulling financial reporting to support the project management team in their project accounting duties, and provide management and ownership reporting upon request or at the regularly scheduled leadership reporting cadence Assist the external bookkeeping team with year-end 1099 preparation All other duties as assigned Qualifications Education Requirement- High School Diploma 2+ Years of accounting experience in the construction industry Exceptional organization, analytical, problem solving, and communications skills are important Familiarity with construction accounting concepts and best practices Proficient with Google Workspace and Excel, QuickBooks Online Benefits Package Helot Development Services offers an excellent benefits package which includes: Competitive salary Health and Dental Insurance for the employee and their eligible dependents 401K savings plan with company match on contributions up to 4 percent of annual base wages PTO including holidays Access to the company bonus program
