Summary:
The Accounting Administrator is responsible for supporting construction project accounting, subcontractor administration, accounts receivable, accounts payable, and compliance documentation. This role serves as a critical link between project teams, subcontractors, vendors, and company leadership, ensuring that financial records, project billing, and compliance requirements are managed accurately and efficiently. The ideal candidate is highly organized, detail-oriented, and eager to build a long-term career in construction accounting. Primary Responsibilities:
Accounts Receivable & Project Billing Assist with project billing, invoicing, and collections. Process and track time-and-material (T&M) tickets, change orders, and related billing documentation. Support preparation of owner invoices and progress billings. Maintain accurate project cost records and billing logs. Coordinate with project managers to ensure timely and accurate billing. Accounts Payable & Subcontractor Administration Process subcontractor and vendor invoices. Review invoices for accuracy and proper cost coding. Assist with subcontractor monthly pay applications. Coordinate lien waivers, conditional releases, and final releases. Maintain subcontractor payment records and documentation. Compliance & Risk Management Track subcontractor insurance certificates and compliance requirements. Obtain and maintain W-9 forms, business licenses, and required project documentation. Monitor expiration dates and ensure compliance records remain current. Assist with contractor prequalification and vendor onboarding. Project Accounting Support Assist with project cost tracking and job cost reporting. Prepare monthly financial and project reports for management and clients. Support budget tracking and cost forecasting activities. Work closely with project managers to monitor project financial performance. Own Sage's job creation and manage each job's in's & outs from an accounting perspective. Administrative & Financial Support Maintain organized electronic and physical project files. Support month-end and year-end accounting processes. Assist with audits and financial reviews. Collaborate with accounting firm, operations, and project management teams. Perform additional accounting and administrative duties as assigned. Software & Systems Experience with the following software is preferred: QuickBooks Sage 100 Contractor Microsoft Office Suite (Excel, Outlook, Word) Procore Qualifications Bachelor's degree in Accounting, Finance, Business Administration, or related field preferred. Not required. 1-3 years of accounting, bookkeeping, and administrative experience. Construction accounting experience is strongly preferred. Understanding of job costing, subcontractor management, and project billing processes. Familiarity with lien waivers, insurance compliance, and construction documentation. Strong organizational skills and attention to detail. Excellent verbal and written communication skills. Self-motivated with the ability to prioritize multiple tasks. Ability to work independently while contributing positively to a collaborative team environment.
