We are a Santa Rosa based company seeking an energetic person that loves farming and cannabis to join as Accounting Administrative Assistant. About the
Opportunity:
The Accounting Administrative Assistant will undertake a variety of Accounting administrative duties. The Accounting assistant's duties involve a wide range of support activities inside our Accounting department.
Duties will be focused on:
Accurate and timely processing of bookkeeping information Must have the ability to execute detailed tasks efficiently in a dynamic, friendly workplace An important part of your role will be to support the accounting department in organization and accurate data entry This position will be located on-site at our Santa Rosa location. This position is regular Salary, Full-time, and reports to the Staff Accountant.
KEY RESPONSIBILITIES
Duties and Responsibilities:
Perform Accounts Payable and Accounts Receivable functions, including: Invoice creation, tracking, and payment application Bill entry, vendor record maintenance, and timely payments Maintain accurate financial records in accordance with company policies and accounting standards Perform data entry and track financial transactions in accounting systems Research and resolve discrepancies with vendors and payments Assist with month-end close, including account reconciliations and general journal entries Process bank deposits Organize, file, and maintain accounting documentation and records Assist with financial reports, audits, and annual insurance renewals Manage monthly expense reports Support ad hoc accounting and administrative projects as needed
REQUIRED EDUCATION AND EXPERIENCE / QUALIFYING SKILLS
Experience & Requirements:
Associate's degree in Accounting, Business Administration, or related field (preferred) 1-2 years of bookkeeping or accounting experience (preferred) Experience with QuickBooks Online or similar accounting software (preferred) Must be at least 21 years of age Background check required Must be authorized to work in the United States Ability to work on-site in an office setting
Skills and Proficiency:
Strong organizational, analytical, and problem-solving skills Excellent attention to detail and high level of accuracy Ability to work independently and manage multiple priorities in a fast-paced environment Professional communication skills High level of integrity, discretion, and ability to handle confidential information Strong judgment and decision-making abilities Team-oriented with a willingness to support others Proficiency in Microsoft Office, Google Workspace, and accounting software (QuickBooks Online preferred). Metrc experience is a plus Experience supporting a multifaceted small business office environment preferred
WORK ENVIRONMENT & PHYSICAL DEMANDS
While performing the duties of this job, the employee is frequently required to do the following: Constant exposure to fine particulate cannabis plant material as airborne particles Prolonged periods of sitting at a desk and working on a computer Must be able to lift 15 pounds at times Must be able to access and navigate each department at the organization's facilities including stairs and controlled-access environments Occasionally moves boxes or equipment up to 50 pounds Constantly works in an indoor office setting Occasionally move about inside the office to access file cabinets, office machinery, etc. Constantly operates a computer and other office productivity machinery, such as a calculator, copy machine, and computer printer Regularly ascends/descends stairs to the office area The ability to communicate information and ideas so others will understand. Must be able to exchange accurate information in these situations The ability to observe details at close range (within a few feet of the observer) and fine print documents or presentation screens

EXPECTED HOURS OF WORK
This is a full-time, salaried position. Work hours may vary based on seasonal demands and operational needs. The role requires flexibility in scheduling, including the ability to work extended hours and weekends during peak seasons. Compensation is based on an annual salary intended to cover all hours worked in fulfillment of job responsibilities.
