Position Summary We are seeking a versatile and detail-oriented Accounting & Operations Coordinator to support our core business functions as part of the Shared Services team. This role serves as a vital cross-departmental link, providing essential support to our accounting, operations, and IT administrative workflows. The ideal candidate is a proactive professional who thrives in a multifaceted environment. While this is an early-career position, it requires a foundational knowledge of QuickBooks and the ability to manage diverse administrative responsibilities with precision and professional discretion. CSA Education is an entirely remote company with offices based in downtown Chicago. Applicants can be anywhere within the United States. Key Responsibilities Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions. Financial & Accounting Administration (Primary Focus) Manage day-to-day data entry within QuickBooks, ensuring all transactions are categorized accurately. Oversee accounts payable and receivable processes, including invoice verification, payment processing, and collections. Perform monthly reconciliations to ensure financial data integrity. Generate professional client invoices and respond to billing inquiries in a timely manner. Contract & Compliance Oversight Coordinate the execution of independent contractor agreements, ensuring all necessary tax documentation (W-9s) and compliance records are secured. Maintain organized digital archives for all departmental contracts, financial records, and operational procedures. IT & Systems Support (Secondary Focus) Facilitate user onboarding and offboarding by managing software credentials and platform permissions. Serve as an additional internal point of contact for basic IT troubleshooting and coordinate with external vendors for complex technical issues. Assist in maintaining the internal knowledge base and ensuring team members have the necessary digital tools to remain productive. Qualifications Bachelor's degree in Accounting or Business Administration preferred. Demonstrated experience using QuickBooks is a requirement for this role. 1-3 years of experience in a business operations or administrative setting. A proven ability to pivot between varied tasks—from financial reporting to IT support—while maintaining a high standard of quality. Exceptional attention to detail and the ability to manage multiple deadlines simultaneously. Refined written and verbal communication skills, with a focus on providing excellent internal and external stakeholder support. Additional Details This is a full-time staff position.
