From advanced pavement evaluation to comprehensive subsurface investigations, we deliver high-quality, data-driven solutions for public and private clients across the U.S. Position Overview We are seeking a dependable and detail-oriented Administrative & Accounting Assistant to support the daily operations of our engineering services office. This position blends bookkeeping, accounting, HR, and administrative responsibilities. The ideal candidate enjoys variety, can balance multiple priorities, and thrives in a collaborative, small-team environment. This role is a strong fit for someone who: Enjoys variety in their day and can balance bookkeeping, HR/administrative support Takes pride in accuracy when preparing invoices, reconciling accounts, or assisting with audits and financial statements Feels comfortable working with external accountants and supporting compliance requirements Likes being the dependable point of contact who keeps operations organized and moving smoothly Has strong attention to detail when reviewing contracts, tracking expenses, and maintaining financial records Thrives in a smaller, team-oriented company where contributions are visible and valued Key Responsibilities Accounting & Finance Oversee accounts payable/receivable, ensuring prompt and accurate transactions Reconcile bank and general ledger accounts Prepare and process payroll in compliance with tax and benefit requirements Support budget preparation, forecasts, and regular financial reporting Generate invoices, track project costs, and monitor cash flow Coordinate with outside accountants for audits, filings, and year-end reporting HR & Administrative Support Manage payroll and employee data in ADP Maintain employee records and assist with benefits administration Provide support with recruiting and onboarding processes Answer and route phone calls to the appropriate team members Greet visitors and provide a professional first impression of the company Provide general office support for building maintenance needs and managing accounts for joint venture and condo association, including scheduling, correspondence, and recordkeeping Assist in preparing proposals, bids, and reviewing contracts for engineering projects. Confidentiality is a must. Qualifications Associate degree or Bachelor's (preferred) in Accounting, Business Administration, Finance, or related field 3+ years in an accounting, HR, or administrative role (engineering/professional services experience a plus) Strong knowledge of financial reporting, tax regulations, and payroll processing. Excellent communication, negotiation, and organizational skills. Ability to multitask and prioritize in a dynamic, project-driven environment. Understanding of engineering services, project billing, and contract structures (preferred). Proficiency with accounting software such as Deltek, SEMA4, QuickBooks Experience with ADP or similar payroll systems Strong organizational skills with the ability to manage multiple priorities Valid driver's license with an acceptable driving record.
