Olthof Homes is looking for a full-time Accounting Administrator & Receptionist to join the accounting team at our St. John, IN corporate office. This role is critical to maintaining organized Accounts Payable records including the entering and digital storage of invoices. The ideal candidate will be a self-starter with a desire to learn. This position is on-site and in-person Monday through Friday from 8:00am to 5:00pm. This position is not eligible for remote work. Job Location Corporate Office in St. John, Indiana Duties, responsibilities & expectations: Work with utility companies to ensure proper billings of accounts. Monitor the accounts payable email inbox for invoices and send out for approval & coding. Reconcile and prepare remittances for accounts payable check processing. Enter permit requests and overhead invoices into accounting software. Enter journal entries into accounting software as requested by Accounting colleagues. Manage Certificates of Insurance, including filing new certificates as they're received and requesting updated certificates when they expire. Make phone call and email inquiries for accounting as needed. Scan, rename, and digitally file paper invoices. Receive and sign for packages and deliver them throughout the office. Order supplies for corporate office. Answer corporate phone line and greet guests as they come into the office. Maintain accurate vendor records and assist with answering trade questions, specifically about payments. Perform other clerical duties as assigned. Minimum education, experience & knowledge: Excellent organizational and communication skills Strong interpersonal skills, including the ability to occasionally deescalate inquiries from customers Intermediate proficiency in Microsoft Excel Desire and ability to learn accounting software High school diploma/GED required
