Job Description
Job Overview Seeking a reliable, proactive, and highly organized Lead Office & Accounting Coordinator to join our small, family‑owned manufacturing and industrial services business. This in-person role oversees day‑to‑day office operations and handles a wide range of hands‑on administrative and accounting tasks, including but not limited to inventory management, job costing, invoicing, payroll, and financial reporting. This individual works closely with our operations and production teams to ensure accurate financial tracking for each job as well as smooth, efficient coordination and communication of customer orders. This position may also include supervising administrative support staff. Responsibilities Manage communications including customer inquiries, vendor coordination, and internal production and management. Perform accounts payable/receivable, payroll, invoicing, and bank reconciliations. Support job costing, tracking labor, materials, and outside services tied to production activities. Prepare financial statements and maintain accurate financial records. Process check requests, deposits, and banking transactions. Prepare quotes, sales orders, purchase orders, and shipping documentation; coordinate with production and customers. Coordinate shipments with carriers and ensure proper documentation for industrial or customer-specific requirements. Maintain filing systems including production records, certifications, and customer documentation. Manage office and shop supply inventory, including coordination with maintenance and production needs. Support reporting needs across departments including operations and production metrics. Onboard new employees and train office staff. Provide direct supervision and leadership for assigned administrative staff (e.g., Office Administrator, Administrative Assistant), including work assignment, training, performance monitoring, and development. Ensure compliance with company policies, safety practices, and maintain a clean, organized work environment. Participate in continuous improvement and problem-solving activities (8D, 5 Whys, Lean practices). Perform general administrative duties as assigned. Take on other tasks as needed. Qualifications Associate's or Bachelor's degree in Accounting, Business, or related field preferred. 2+ years of bookkeeping or office administration experience, preferably in manufacturing or industrial environment. Experience with ERP or job-based accounting systems. Demonstrated proficiency in full Microsoft Office, strong in Excel and QuickBooks. Strong organizational and communication skills. Leadership or supervisory experience preferred. High attention to detail and ability to manage multiple priorities in a fast-paced environment.
