This vital role involves managing front desk operations, providing exceptional customer service, supporting accounting operations, ensuring an organized and efficient workspace through strong communication, multitasking, and organizational skills. The ideal candidate will demonstrate excellent communication skills, strong Microsoft Office Suite skills, and positive attitude to create a professional and friendly environment for visitors, clients, and team members. Responsibilities Greet visitors, clients, and vendors with professionalism and warmth, ensuring they feel welcomed and valued. Support accounting operations by processing vendor invoices, reconciling vendor statements, creating spreadsheets to assist with projects and audit support. Manage multi-line phone systems efficiently, directing calls accurately and courteously while maintaining excellent phone etiquette. Handle appointment scheduling, calendar management, and coordinate meetings using tools like Google Workspace and Microsoft Office. Perform data entry, filing, and document proofreading to maintain organized records and ensure accuracy in all communications. Support office management tasks such as supply inventory, mail distribution, and basic bookkeeping using QuickBooks or similar software. Assist with clerical duties including typing correspondence, managing office emails, and supporting customer service inquiries. Provide support when needed, demonstrating flexibility across various administrative functions. Requirements Proven experience in office management or administrative roles with strong clerical skills. Excellent computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry tools. Prior experience working with multi-line phone systems and demonstrating professional phone etiquette. Strong organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment. Demonstrated customer service skills with a friendly demeanor and effective communication abilities. Experience with bookkeeping software like QuickBooks or similar is preferred but not mandatory. Previous roles such as front desk receptionist or personal assistant are advantageous.
