This is a hands-on, full-cycle role that spans accounts payable, accounts receivable, month-end close support, and day-to-day office operations. If you take ownership of your work, stay organized under pressure, and prefer a small, collaborative team over a corporate hierarchy, this role is built for you.
Responsibilities:
Accounts Payable Own the AP inbox — review and enter vendor invoices in Zoho Books daily Perform 3-way match (invoice, PO, goods receipt) before submitting any bill for approval Set up and maintain vendor records; manage remittance and payment term details Prepare and process the weekly payment run; set up ACH batches for supervisor authorization Respond to vendor inquiries on invoice status, payment timing, and remittance Accounts Receivable Generate and send customer invoices from confirmed-shipped sales orders Receive and apply customer payments to open invoices in Zoho Books Issue credit memos and refunds with proper supervisor authorization Follow up on past-due invoices (16-45 days); escalate older balances to management Set up and maintain customer account records Month-End Close Reconcile bank accounts and balance sheet accounts at month-end Ensure all AP and AR are entered and no items remain in draft status before close Flag discrepancies to management before financials are finalized Office Administration Monitor and order office supplies; coordinate with building management and service vendors Support team members with administrative tasks and correspondence Help plan and organize team lunches and company events
What We Are Looking For:
2+ years of experience in bookkeeping, accounting, or office administration Hands-on experience with accounting software (we use Zoho Books — training provided if you're coming from another platform) Strong Excel skills; comfortable with reconciliations and data entry High attention to detail — you catch errors before they become problems Able to work independently and manage multiple priorities without close supervision Clear written and verbal communication Associate's or Bachelor's degree in Accounting, Business, or related field preferred, but not required
