Job Description

Position Summary Dean Baldwin Painting, the largest privately-owned aircraft painting company in the US, is currently seeking an Accounts Payable Manager. The right person will enjoy a fast-paced environment, is a proactive problem solver, and strives to be an integral part of the team and the success of the company The Accounts Payable Manager is responsible for overseeing the full-cycle accounts payable process to ensure accurate, timely, and compliant payment of vendor obligations. This role manages day-to-day AP operations, supervises one part time Accounts Payable Specialist, and ensures strong internal controls, vendor management, and compliance with company policies. Key Responsibilities Accounts Payable Operations Manage the end-to-end accounts payable process , including invoice intake, coding, approval routing, and payment processing. Ensure accurate and timely coding and processing of vendor invoices for operational expenses such as: Inventory items / PO matching Hazardous materials and waste disposal services Aircraft maintenance supplies and equipment Tools and consumables Facility and operational services Ensure invoices are recorded in the correct accounting period and in compliance with company policies. Vendor Management Maintain vendor master files, including W-9 documentation and payment terms. Serve as the primary contact for vendor inquiries and resolve billing discrepancies. Manage vendor relationships with suppliers. Payment Processing Oversee weekly or bi-weekly payment runs, and process credit card payments. Ensure compliance with payment authorization protocols and segregation of duties. Monitor vendor payment terms and ensure proper scheduling of payments. Compliance and Controls Maintain strong internal controls over the accounts payable process. Ensure compliance with company policies and external regulatory requirements. Support 1099 reporting and vendor tax compliance. Assist with sales/use tax review on vendor invoices where applicable. Month-End Close Support Prepare AP-related reconciliations and reports for the monthly financial close. Accrue expenses for invoices not yet received. Reconcile vendor statements and resolve outstanding issues. Team Leadership Supervise one Accounts Payable Specialist . Assign workloads and monitor productivity and accuracy. Provide training and process improvements to increase efficiency. Process Improvement Identify opportunities to improve AP workflows, automation, and internal controls. Audit and Reporting Support internal and external audit requests related to accounts payable. Maintain proper documentation and e-filing for all AP transactions. Provide reporting and analysis on AP aging, vendor spend, and payment trends. Qualifications Education Bachelor's degree in Accounting, Finance, or related field preferred. Experience 5+ years of progressive accounts payable experience . 1-2 years of supervisory experience preferred. Technical Skills Experience with
SAGE 100
is highly preferred. Ability to organize and prioritize meeting strict deadlines. Strong knowledge of invoice coding, accruals, and internal controls . $67,000.00 - $73,000.00 per year
