Job Description

Simple Network Consulting, an established technology company, is looking for a skilled and organized Office Administrator to join our team and manage our office's day-to-day administrative and financial operations. The ideal candidate is a proactive problem-solver with excellent communication skills and meticulous attention to detail. You'll be the backbone of our office, ensuring smooth operations and handling crucial financial tasks including accounts payable, accounts receivable, payroll, and tax filings. Key Responsibilities Financial & Accounting (50%): Accounts Payable (AP): Manage the entire AP process, including receiving, verifying, and coding vendor invoices; processing payments via check, ACH, or credit cards; and maintaining accurate vendor files. Accounts Receivable (AR): Create and send customer invoices, track payments, follow up on overdue accounts, and post payments to the general ledger.
Payroll:
Process payroll for all employees using QuickBooks. Ensure accuracy of hours, deductions, and withholdings. Handle new hire paperwork and employee payroll setup.
IRS & State Filings:
Prepare and submit all necessary payroll tax filings, including quarterly IRS Form 941 (Employer's Quarterly Federal Tax Return), annual IRS Form 940 (Employer's Annual Federal Unemployment (FUTA) Tax Return), and relevant state unemployment and withholding reports.
Year-End Reporting:
Prepare and distribute annual W-2s for employees and 1099s for contractors.
Financial Reporting & Reconciliation:
Assist with month-end closing procedures, reconcile bank statements and credit card accounts, and generate basic financial reports as needed. General Administration (20%): Serve as the main point of contact for the office, maintain agreements for our clients, answering phone calls. Manage office supplies inventory and place orders when necessary. Coordinate company meetings, appointments, and travel arrangements. Sort and distribute incoming mail and manage outgoing correspondence. Maintain an organize a secure and efficient filing system for both physical and digital records. Qualifications & Requirements Proven experience as an Office Administrator, Office Manager, or similar role. Demonstrated experience with accounts payable, accounts receivable, and payroll processing. Strong knowledge of payroll tax laws and experience with IRS filings (941, 940, W-2s, 1099s). Proficiency in MS Office Suite (especially Excel) and accounting software QuickBooks. Exceptional organizational and time-management skills. High degree of accuracy and attention to detail. Ability to handle sensitive and confidential information with discretion. High school diploma or equivalent; Associate's or Bachelor's degree in Accounting, Finance, or a related field is a plus. Account Agreement Auditing (20%): Audit client facing agreements for accuracy. Audit licensing from vendors for accuracy. A background check will be required - referrals are highly encouraged. Typical hours M-F 9:00am - 5:00pm. no weekend or holiday work is anticipated.
