This position's responsibilities include the administrative process of formatting Microsoft Word, Microsoft Excel, and Adobe Acrobat files to produce audit and other reports for clarity and to meet accessibility requirements. The position will also provide organizational and technical support to division staff for the completion, release, and publication of reports and other documents for the Office of the State Auditor Audit Practice Division. The Office and Administrative Specialist, Intermediate, has primary responsibility for: + Reviewing and formatting technical accounting and audit reports and templates for clarity and consistency and according to the Audit Practice Division's formatting design, including assisting the Office of the State Auditor (OSA) in implementing accessibility standards. + Handling the administrative production of reports, distributing reports, and maintaining a system of cataloging Audit Division publications. + Performing daily administrative functions, including participation in the phone pool and backup services for the receptionist.
- This is a hybrid position. During initial training period, work may be regularly performed in the office in St. Paul.
- Minimum Qualifications
- The following qualifications are required of all applicants seeking consideration for this position: + Skills in business English sufficient to compose and edit correspondence and reports using proper grammar, punctuation, and spelling.
+ English speaking skills sufficient to communicate effectively with a wide variety of individuals. + Skills in customer service sufficient to provide prompt, courteous, and accurate information to customers over the phone and in person. + Skills in Microsoft Word sufficient to draft letters, memos, and reports. + Skills in Microsoft Excel sufficient to use basic formatting tools. + Experience working with Adobe Acrobat. + Knowledge of accessibility formatting in Microsoft Word, Microsoft Excel and Adobe Acrobat.
- Preferred Qualifications
- The following qualifications are strongly desired in applicants seeking consideration for this position: + Two or more years of experience in office communications. (2 years of post-secondary education is equivalent to 1 year of experience in office communications). + Two or more years of experience working in an auditing and or finance setting.
- Physical Requirements
- + Requires occasional lifting and carrying of less than 10 pounds, along with the ability to move through the work space and maintain a stationary position throughout the work day.
