This position is responsible for maintaining accurate financial records across multiple entities, performing account reconciliations, processing day-to-day transactions, and providing administrative support to ensure efficient office operations. The ideal candidate takes pride in accuracy, organization, and consistency, enjoys working with established processes, and values maintaining clean and reconciled financial records. This role works closely with the Chief Financial Officer (CFO) and plays an important role in supporting the financial health of the organization.

Essential Duties and Responsibilities Bookkeeping & Transaction Management Accurately code and categorize financial transactions within QuickBooks. Assign transactions to the appropriate entity, account, and cost center. Match, verify, and maintain supporting documentation including invoices, receipts, and expense records. Process and maintain financial records in accordance with company procedures and accounting standards. Account Reconciliations Perform timely reconciliations of bank accounts, credit card accounts, and other balance sheet accounts. Investigate and resolve discrepancies as needed. Maintain organized reconciliation documentation and supporting schedules. Ensure consistency and accuracy across all company entities. Month-End Support Assist with month-end accounting processes and financial reporting preparation. Prepare account reconciliations, schedules, and supporting documentation for CFO review. Process approved journal entries and accounting adjustments. Support audits and financial reviews by maintaining organized records. Systems & Process Administration Utilize QuickBooks as the primary accounting system. Utilize Ramp and other financial management tools as assigned. Follow established accounting procedures, workflows, and internal controls. Assist in identifying opportunities for process improvement and operational efficiency. Administrative Support Open, sort, and distribute incoming mail and financial correspondence. Maintain organized physical and electronic filing systems. Digitize documents and ensure accurate storage and retention of records. Route invoices, contracts, and financial documentation to the appropriate individuals. Assist with general office administrative tasks as needed. Compensation & Benefits Ardent Preschool & Daycare offers: $50,000-$60,000 annually, based on qualifications and experience. Position is non-exempt and eligible for overtime pay. Working knowledge of bookkeeping principles, including debits, credits, and account reconciliation processes. Strong attention to detail and organizational skills. Ability to manage multiple entities and maintain accurate records. Proficiency with Microsoft Office, including Excel and Outlook. Strong written and verbal communication skills. Ability to maintain confidentiality and exercise sound judgment. Ability to work on-site in Birmingham, Alabama. Preferred Qualifications Previous bookkeeping experience in a multi-entity environment. Experience in childcare, education, healthcare, hospitality, or other high-volume transaction environments. Familiarity with Ramp or similar spend-management platforms. Associate's or Bachelor's degree in Accounting, Business Administration, Finance, or a related field. Knowledge, Skills, and Abilities Strong analytical and problem-solving skills. Ability to work independently while meeting deadlines. High level of accuracy and attention to detail. Strong organizational and time management skills. Ability to adapt to changing priorities and business needs. Commitment to maintaining accurate and well-documented financial records. Ability to establish and maintain positive working relationships across the organization. Physical Requirements Prolonged periods of sitting and working at a computer. Ability to occasionally lift and move files, office supplies, and documents up to 25 pounds. Ability to communicate effectively in person, via telephone, and electronically.
