Position Summary Whitestone Industries is a rapidly growing commercial and multifamily construction services company specializing in painting, roofing, waterproofing, reconstruction, and exterior restoration throughout California. We are seeking a highly organized and detail-oriented Accounting Specialist to join our team. This position is responsible for supporting accounts receivable, accounts payable, payroll support, reconciliations, reporting, job costing, and general accounting functions while ensuring accuracy, compliance, and timely financial reporting. The ideal candidate has strong bookkeeping and accounting experience, thrives in a fast-paced construction environment, and can effectively manage multiple priorities while maintaining exceptional attention to detail. Essential Duties and ResponsibilitiesAccounts Receivable Generate and distribute customer invoices and progress billings. Monitor accounts receivable aging reports and assist with collection efforts. Record customer payments and reconcile deposits. Investigate and resolve customer billing discrepancies. Maintain accurate customer account records. Assist with lien waiver tracking and project billing documentation. Support project managers with contract billing and collection activities. Prepare journal entries as assigned. Accounts Payable Review vendor invoices for accuracy and coding. Match invoices to purchase orders, subcontract agreements, and receiving documentation. Obtain appropriate approvals in accordance with company procedures. Enter vendor invoices and bills into accounting software. Process vendor payments and subcontractor payments. Maintain accurate records of company credit card transactions and receipts. Process employee expense reimbursements. Reconcile vendor statements and resolve discrepancies. Maintain accounts payable aging reports. Job Cost Accounting Assist with project cost tracking and job cost reporting. Review labor, material, equipment, and subcontractor costs for accuracy. Monitor project budgets and identify cost variances. Support project managers with project financial reporting. Maintain accurate job cost coding and documentation. Reconciliations and Reporting Reconcile bank accounts, credit card accounts, and loan accounts. Prepare monthly account reconciliations. Assist with month-end and year-end closing procedures. Support preparation of financial statements and management reports. Prepare reports requested by management, CPA firms, auditors, and financial institutions. Assist with annual 1099 preparation and reporting. Support budgeting and forecasting activities. Payroll Support Assist with payroll processing and payroll record maintenance. Verify employee time records and labor allocations. Maintain payroll-related documentation and reports. Coordinate with HR regarding employee changes affecting payroll. Administrative Support Maintain organized accounting and project files. Process incoming accounting-related correspondence. Assist with purchasing office supplies and administrative materials. Support special projects assigned by management. Maintain confidentiality of all financial and personnel information. QualificationsRequired Minimum 3 years of bookkeeping or accounting experience. Strong understanding of general accounting principles. Experience with accounts payable and accounts receivable processes. Proficiency in Microsoft Excel and Microsoft Office applications. Strong organizational and time-management skills. Excellent attention to detail and accuracy. Ability to manage multiple deadlines in a fast-paced environment. Strong communication and problem-solving skills. Ability to maintain strict confidentiality. Preferred Associate's or Bachelor's Degree in Accounting, Finance, Business Administration, or related field. Construction accounting experience. Experience with QuickBooks. Experience with payroll processing and ADP. Knowledge of job costing and project accounting. Experience with lien waivers, progress billing, and subcontractor compliance. Experience supporting month-end and year-end closing activities. Compensation and Benefits Pay Range:
