Job Description

Position Summary The Accounts Payable Specialist is responsible for managing invoice processing and coordinating vendor payments to ensure accuracy and timeliness within a collaborative, small-team environment. This role supports a moderate invoice volume and requires strong attention to detail, effective communication, and adherence to internal controls. Using CargoWise and other accounting tools, the specialist performs data entry, reconciliations, and reporting to support efficient financial operations. This position offers opportunities for cross-training and career growth. Responsibilities Process and review vendor invoices accurately and in a timely manner Verify invoice details, ensure proper account coding, and enter transactions into the accounting system (including CargoWise) Perform three-way matching of purchase orders, packing slips, and invoices Prepare and process payments via check, ACH, wire transfer, and credit card in accordance with company policies Reconcile vendor statements and accounts payable transactions; investigate and resolve discrepancies Maintain clear and professional communication with vendors regarding billing inquiries and payment status Track and monitor expenses to support budget adherence and cash flow management Maintain organized and audit-ready AP files and documentation Ensure compliance with internal controls, company policies, and regulatory requirements Support month-end closing activities, including reconciliations, reporting, and accruals Assist with preparation of financial reports, schedules, and audit documentation (internal and external) Identify opportunities for process improvements to enhance efficiency and accuracy Provide general accounting and administrative support as needed, including cross-functional collaboration Required Qualifications 2+ years of experience in accounts payable Preferred Qualifications Associate's degree in Accounting or a related field Proficiency in Microsoft Excel and financial reporting tools Strong attention to detail, organizational, and communication skills Effective time management and problem-solving abilities Bilingual in Chinese (Mandarin) is a plus
Pay:
$20.00 - $30.00 per hour
