Job Description

Position Overview The Fiduciary Bookkeeper is responsible for maintaining the financial records of trusts, estates, conservatorships, and related fiduciary entities under administration. The role focuses on general ledger integrity, account reconciliations, financial record maintenance, and financial reporting support. This position operates within a structured fiduciary framework. While the role remains non-discretionary, it requires the ability to utilize governing documents to support accurate financial classification, recordkeeping, and reporting.

The Fiduciary Bookkeeper supports the fiduciary team by ensuring financial records are accurate, complete, well-documented, and maintained in accordance with internal control standards and fiduciary obligations. Core Duties and Responsibilities Maintain accurate general ledgers and record transactions timely Perform monthly reconciliations and resolve discrepancies Maintain organized and audit-ready financial records Prepare internal reports and respond to ad hoc financial requests Support tax reporting and 1099 compliance Follow up on missing documentation and ensure completion of tasks Draft professional correspondence for follow-ups Authority & Role Boundaries No authority to approve distributions No accounts payable responsibility No fiduciary decision-making authority Utilizes governing documents for bookkeeping purposes only Does not provide legal or tax advice Performance Standards Timely and accurate reconciliations Clean and supportable general ledger Strong documentation and audit readiness Effective follow-through on all assignments Clear communication and collaboration Qualifications & Experience 5+ years bookkeeping experience Proficiency in QuickBooks Online Strong reconciliation skills Experience with trust accounting required Knowledge of fiduciary accounting preferred Professional Competencies Strong analytical and critical thinking skills Clear communication skills High level of organization and time management Self-driven and accountable Maintains high ethical standards Work Style & Expectations Continuous learner with strong discipline Takes ownership and accountability for work Proactively manages tasks and follow-ups Produces high-quality results consistently Operates with integrity and fiduciary awareness Candidate Profile We are seeking a self-driven professional with strong organizational and time management skills.
