In this vital role, you will manage the full cycle of accounts payable and receivable, process payroll, and ensure accurate financial recordkeeping. Your expertise QuickBooks accounting software and financial concepts will drive efficiency and compliance across our operations. Key Responsibilities Accounts Payable (A/P) Verify vendor invoices by matching invoices and receipts Prepare and issue payments to vendors, contractors, and service providers Maintain vendor files, including compliance documents (W-9s, insurance certificates) Monitor accounts to ensure timely payments and avoid late fees Accounts Receivable (A/R) Generate invoices for almond shell & hull sales, farm management, and processing services (e.g., hulling, shelling, packaging, transportation, equipment maintenance) Apply customer payments and reconcile discrepancies Work with sales and logistics teams to verify shipment weights, pricing, and contracts Monitor aging reports and follow up on outstanding balances Maintain accurate records of customer contracts and pricing terms Grower Payments / Settlements Assist in preparing and processing grower settlements based on delivered almond volumes, grades, and market pricing Verify delivery receipts, weight tags, and processing reports Coordinate with field and operations teams to ensure accurate grower records Respond to grower inquiries regarding payments and statements Payroll Process payroll for plant workers, seasonal labor, and administrative staff Maintain payroll records, including hours worked, deductions, and benefits Ensure compliance with agricultural labor laws and wage regulations Maintain payroll records, deductions, and benefits administration Handle payroll tax filings and reporting Additional Duties Reconcile bank accounts and general ledger entries Prepare bank deposits Track chemical and parts inventory in Excel Support month-end and year-end close, especially during harvest season Adhoc reports Assist with internal and external audits OSHA, Workers Comp, and financial audits Process new hire documents Enter employee job sheets into Excel spreadsheet Update Safety Data Sheets Binder Open and sort mail Verify bin counts against manifests before shipping Assist with DMV processes Qualifications High school diploma or equivalent (Associate's or Bachelor's degree in Accounting, Agriculture Business, or Finance preferred) 1-3 years of accounting or payroll experience (agriculture or food processing preferred) Proficiency in QuickBooks accounting software and Microsoft Excel Ability to learn "Almond Logic" software Strong attention to detail, especially with weights, volumes, and pricing calculations Ability to handle confidential information with integrity Skills & Competencies Ability to work efficiently during peak harvest and processing periods Strong organizational and multitasking skills in a deadline-driven environment Understanding of agricultural operations and seasonal workflows Effective communication with growers, vendors, and internal teams Problem-solving skills and ability to reconcile discrepancies quickly Strong numerical and analytical skills Work Environment Office setting within an almond processing facility Fast-paced environment, especially during harvest season (typically late summer through fall) May require extended hours during peak production periods Join us in a role where your expertise will directly impact our operational success!
