Summary The Accounting Specialist provides hands-on accounting support across general ledger administration, account analysis, reconciliations, payroll-related accounting, audit preparation, financial reporting, regulatory filings, and accounting system support. This position supports the monthly, quarterly, and annual close processes by preparing journal entries, reconciling accounts, reviewing financial activity, supporting compliance filings, and maintaining accurate accounting records. The Accounting Specialist works closely with the Controller, Accounts Payable Specialist, and Accounts Receivable Specialist to support accurate financial operations, audit readiness, internal controls, and agency reporting requirements. The role also supports GWC management by assisting with financial analysis, variance review, cost allocation, and special accounting projects. Responsibilities General Ledger, Month-End Close & Reconciliations Prepare routine journal entries in accordance with U.S. GAAP, including adequate supporting documentation for review, approval, and audit support. Support the monthly, quarterly, and annual financial close processes by preparing reconciliations, accruals, allocations, and account analyses. Analyze general ledger accounts and financial variances to identify discrepancies, research issues, and recommend correcting journal entries as needed. Maintain detailed reconciliations for assigned balance sheet accounts, including benefits, accrued expenses, prepaid expenses, petty cash, fixed assets, and other assigned accounts. Record daily transactions and perform monthly bank account reconciliations for assigned bank accounts. Support benefit accruals, benefit reconciliations, and other payroll-related accounting entries. Assist with the distribution of indirect costs, staff time study allocations, and other cost allocation processes. Accounts Payable, Accounts Receivable & Billing Support Verify, allocate, post, and reconcile accounts payable and accounts receivable transactions as assigned. Provide backup support to the Accounts Payable Specialist and Accounts Receivable Specialist as needed. Reconcile remittance activity to billing records and accounting system activity. Assist with resolving AP, AR, billing, payment, or posting discrepancies. Support accurate documentation and tracking of vendor, customer, donor, grant, and program-related accounting activity. Payroll, Accounting & Reporting Perform payroll processing and post-payroll reporting in coordination with the Controller and appropriate internal stakeholders. Review payroll-related reports for accuracy, reasonableness, and proper allocation. Assist with payroll-related reconciliations, benefit deductions, accruals, and accounting entries. Support staff time study allocations and labor distribution reporting as assigned. Financial Reporting & Management Support Assist with the preparation of profit and loss statements for assigned programs, departments, grants, or profit centers. Support comparative financial reporting, budget variance analysis, and management reporting. Research financial variances and provide supporting documentation to assist with management review. Assist with foundation financials and other assigned financial reporting needs. Recommend ways to improve accounting processes, reduce costs, enhance revenue tracking, strengthen internal controls, and improve reporting accuracy. Audit, Tax & Regulatory Filing Support Support annual audit preparation, including gathering, organizing, and uploading documentation through Suralink or other audit support platforms. Assist with Form 990 support, Form 5500 support, annual property tax filings, welfare exemption filings, and other assigned regulatory or compliance filings. Prepare or assist with quarterly filings and other recurring financial reports. Support Medi-Cal audits, DUI statistics reporting, and other program-specific financial reporting requirements. Maintain accurate supporting documentation to ensure audit readiness and compliance with internal and external reporting requirements. Accounting Systems, Records & Internal Controls Maintain accurate accounting records in Sage Intacct or other assigned accounting systems. Support accounting system administration, reporting configurations, account coding, and financial data accuracy. Actively utilize, reference, and follow agency policies, procedures, accounting guidelines, and internal control standards. Maintain organized accounting records and supporting documentation in accordance with agency standards and retention requirements. Protect the confidentiality of financial, payroll, employee, client, vendor, donor, and organizational information. Adhere to HIPAA, HITECH, and privacy requirements as applicable to financial, billing, payroll, and client-related records. Other Duties Perform additional accounting, finance, reporting, audit, compliance, and administrative duties as assigned by the Controller to support departmental needs and organizational operations. Qualifications Minimum of two years of accounting, finance, bookkeeping, payroll accounting, or related experience required; healthcare, behavioral health, nonprofit, or grant-funded accounting experience strongly preferred. Bachelor's degree in Accounting, Finance, Business Administration, or a related field preferred. A comparable combination of education, training, and relevant work experience may be considered. Working knowledge of basic accounting principles, U.S. GAAP, account reconciliations, financial documentation, and internal controls. Ability to read, understand, and interpret financial reports, technical forms, account records, and supporting documentation. Experience preparing journal entries, account reconciliations, variance analyses, financial reports, or audit support documentation. Experience with accounting systems required; experience with Sage Intacct or similar accounting software preferred. Proficiency with Microsoft Word, Outlook, and Excel required; advanced Excel skills, including formulas, pivot tables, lookups, and spreadsheet analysis, strongly preferred. Strong mathematical skills, including the ability to apply fractions, percentages, ratios, and proportions to practical accounting situations. Strong verbal and written communication skills. High attention to detail and demonstrated ability to follow standard procedures. Demonstrated customer service, problem-solving, organizational, and analytical skills. Ability to self-motivate, take initiative, research discrepancies, and recommend appropriate solutions. Demonstrated flexibility and adaptability to respond to changing work priorities and meet required deadlines. High degree of professionalism when working with employees, supervisors, executives, board members, auditors, vendors, community partners, donors, and funded partners. Ability to maintain high integrity, confidentiality, and discretion when handling sensitive information.
