This is a critical role within our organization and is best suited for someone who thrives in a fast-paced environment where priorities shift, challenges arise daily, and multiple projects must be managed simultaneously. We are looking for a true self-starter who takes ownership, solves problems independently, and keeps operations moving forward without constant supervision. Our ideal candidate is the type of person who refuses to accept "I don't know" as an answer. When faced with a challenge, they make calls, ask questions, research solutions, and stay with it until the problem is solved. They are comfortable managing a heavy workload, balancing competing priorities, and maintaining exceptional attention to detail while moving quickly. This position plays a key role in supporting field operations, maintaining vendor relationships, managing customer accounts, and helping build efficient systems as our company continues to grow. Key ResponsibilitiesPurchasing & Vendor Management Source and procure parts, materials, equipment, and supplies for daily operations Coordinate closely with field technicians, operations staff, vendors, and management Research products, vendors, pricing, and availability to identify the best solutions for operational needs Track orders from purchase through delivery and proactively resolve delays or issues Maintain strong vendor relationships and negotiate pricing when appropriate Resolve invoice, receiving, shipping, and purchasing discrepancies Assist in developing and improving purchasing procedures and organizational systems Maintain accurate purchasing records and documentation Accounts Receivable Monitor aging reports and proactively follow up on outstanding invoices Process customer payments and apply them accurately within company systems Communicate professionally with customers regarding billing questions and account balances Review and process customer credit applications Manage collections efforts on overdue accounts while maintaining positive customer relationships Maintain organized and accurate financial records and account documentation Office Support & Cross-Training Cross-train in core office functions to support operational continuity Answer incoming calls and assist customers professionally and efficiently Provide coverage during lunches, vacations, and employee absences Maintain a consistently high level of customer service across all interactions Qualifications Previous purchasing experience preferred Accounts receivable experience preferred Strong proficiency with Microsoft Excel and business software systems Excellent written and verbal communication skills Exceptional organizational and time-management abilities Strong attention to detail and follow-through Ability to manage multiple priorities and deadlines simultaneously Ability to learn new systems and processes quickly Professional demeanor and strong customer service skills Technical Requirements This position involves a high volume of purchasing, data entry, email communication, documentation, collections activity, and customer account management. The ability to type quickly and accurately is essential. Candidates should be highly proficient with computers and comfortable working extensively in multiple software systems throughout the day. Fast and accurate typing skills are required. A minimum typing speed of 65+ words per minute is strongly preferred. Final candidates may be asked to complete a typing assessment during the interview process.
