Job Description

Administrative Assistant/Bookkeeper Job Summary We are seeking a reliable and detail-oriented Administrative Assistant/Bookkeeper to support the Director of Operations and the President of the medical practice. This role focuses on administrative support tasks, assisting with scheduling, maintaining records, as well as overall responsibility for the bookkeeping function for the group. Key Responsibilities Assist the Director of Operations with daily tasks and provide administrative support to leadership Schedule appointments, maintain calendars, and help coordinate meetings Support staff scheduling by tracking time-off requests and updating shared calendars Organize and maintain office files, binders, and documents (both physical and digital) Assist with follow-up communications with vendors, insurance companies, and other partners Help maintain office manuals, procedures, and internal documents Track renewal dates for licenses and certifications and notify leadership of upcoming deadlines Monitor staff training completion (e.g., HealthStream) and maintain records Respond to patient inquiries and direct concerns to appropriate staff Maintain office organization and ensure supplies are stocked and ordered when needed Provide general customer service and support a professional physician practice environment Assist with basic bookkeeping tasks for multiple business entities using QuickBooks in conjunction with practice's accounting firm Enter and track expenses and help maintain accurate financial records Support payroll processing by gathering and organizing necessary information Assist with account reconciliation and reporting as directed Qualifications Bachelor's degree preferred 3-5 years of administrative support experience Proficient with Microsoft Office Suite Experience in a medical office is preferred, but not required Skills and Competencies

Vacation and Paid Time Off Pay:
$23.00 - $26.00 per hour
