Finance & Operations Position Summary The Full Charge Bookkeeper is responsible for supporting the financial operations of the school through accurate accounting, reporting, budgeting, payroll support, compliance monitoring, and audit preparation. This position manages day-to-day accounting activities while partnering with Principal to ensure fiscal responsibility, operational efficiency, and compliance with federal, state, local, and organizational requirements. The ideal candidate is detail-oriented, highly organized, collaborative, and capable of managing multiple priorities in a fast-paced educational environment. Essential Duties & Responsibilities Accounting & Financial Operations Process accounts payable transactions and ensure timely payment of invoices. Manage cash receipts, deposits, accounts receivable, collections, and related reconciliations. Prepare and maintain accurate general ledger entries and supporting documentation. Perform monthly bank reconciliations and account reconciliations. Assist with month-end and year-end closing procedures, including accruals and journal entries. Maintain financial records in accordance with organizational policies and generally accepted accounting principles (GAAP). Budgeting & Financial Reporting Support Principal in the preparation, monitoring, and maintenance of the annual operating budget. Monitor budget-to-actual activity and communicate variances or financial concerns to leadership. Prepare recurring financial reports and assist with analysis of school financial performance. Support forecasting and financial planning activities throughout the fiscal year. Payroll & Compliance Prepare and post payroll-related journal entries and reconciliations. Support the coding and allocation of personnel expenses to the appropriate departments, programs, and funding sources. Ensure compliance with federal, state, local, grant, and organizational financial requirements. Support documentation and reporting requirements for audits, grants, and regulatory reviews. Maintain confidentiality of financial, payroll, and personnel information. Operational Support Assist Principal with vendor management, contracts, and purchasing support. Support fundraising activities and tracking of related revenues and expenditures. Collaborate with school and regional staff to improve financial processes and internal controls. Provide excellent customer service to staff, families, vendors, and stakeholders. Culture & Leadership Model professionalism, integrity, and positive character in all interactions. Support the mission, vision, and values of the school and organization. Perform additional duties as assigned by the Principal, or Regional Finance Leadership. Qualifications Education Bachelor's degree in Accounting required. Experience Minimum of 5 years of bookkeeping or related accounting experience required. Experience in a school, nonprofit, or governmental accounting environment preferred. Experience with budgeting, payroll, accounts payable, and financial reporting strongly preferred. Knowledge, Skills & Abilities Strong understanding of accounting principles, financial controls, and bookkeeping practices. Proficiency with accounting software, Microsoft Excel, and financial reporting systems. Ability to analyze financial data and identify discrepancies or trends. Strong organizational skills with the ability to prioritize competing deadlines. Excellent verbal, written, and interpersonal communication skills. Ability to maintain confidentiality and exercise sound judgment. Ability to work independently and collaboratively within a team environment. Demonstrated attention to detail and commitment to accuracy. Ability to adapt to changing priorities and operational needs. Physical & Work Environment Requirements Prolonged periods sitting at a desk and working on a computer. Ability to occasionally lift and move items up to 20 pounds. Regular interaction with staff, students, families, vendors, and auditors.
