Job Description

We are seeking a detail-oriented and proactive Parts Accounts Payable Administrator to join our finance team. In this vital role, you will manage the processing and reconciliation of accounts payable transactions related to parts procurement, ensuring accuracy and compliance with company policies and accounting standards. These roles center on processing high volumes of parts-related invoices in the CDK Dealer Management System (DMS) .
Key duties:
Invoice processing & coding : Receive, review, and code parts vendor invoices to the correct GL accounts in CDK. Perform 3-way matching (purchase order, receiving documents/packing slips, and invoice). Parts-specific focus : Handle Parts Department vendor payables exclusively or primarily — ensuring accurate posting for inventory, cores, returns, and warranties. Reconcile vendor statements and resolve discrepancies with the parts team and vendors. Payments & reconciliation : Process payments (checks, ACH, etc.) through CDK or integrated systems. Take advantage of early-pay discounts. Assist with month-end AP accruals and closing tasks related to parts inventory. Returns & credits : Manage parts returns, core returns, credit memos, and adjustments in the system. Vendor & internal coordination : Communicate with parts managers on pricing issues, shortages, or invoice problems; maintain positive vendor relationships. Recordkeeping & compliance : Maintain accurate AP files, support audits, and ensure compliance with dealership policies and manufacturer (Ford) requirements. Other support : Occasionally assist with general accounting, AR, or billing if the role is combined AP/AR. Interacting with CDK for prepaid invoices, supersessions, or warranty-related accounting.
Requirements :
3+ years of accounts payable experience (automotive dealership or parts environment strongly preferred). Experience using CDK Drive or other dealership management systems (DMS) is a plus. Strong attention to detail, data entry accuracy, organizational skills, and ability to handle volume/deadlines. Basic Excel and computer proficiency. Knowledge of automotive parts or willingness to learn Ford-specific processes. Reconcile Ford claims and payments, resubmit rejected items and coordinate with Ford representatives.
