The successful applicant will have a positive attitude, a desire to work as efficiently as possible, and excellent client-facing communication skills. We are looking for someone who can operate effectively with little or no supervision and who can manage multiple tasks at once without becoming overwhelmed. Responsibilities Proactively communicate with clients to ensure compliance. Answer multi-line phone system and direct calls as required. Organize and schedule appointments. Write and distribute email, correspondence memos, letters, faxes and forms. Greet clients upon arrival and direct them to appropriate conference rooms. Maintain filing and storage systems in the office. Electronically scan documents into software system. Maintain office supply inventory. Retrieve documents and files when requested. Route incoming mail and process outgoing mail. Process and maintain the books for our clients utilizing QuickBooks software Bank reconciliations, general ledger entries, accounts receivable, and accounts payable, and fixed assets tracking Prepare accurate and timely payroll tax deposits, quarterly payroll tax returns and year-end W-2s and 1099s Strong knowledge of QuickBooks and CS Suite (preferred) Develop and maintain strong relationships with clients through ongoing communication and exceptional service Additional tasks as they arise. Must be able to be fingerprinted to have a background check completed. Skills Must have knowledge of Microsoft Office, Computers, Data Entry, Typing, Communication, Filing, QuickBooks.
Typing speed:
minimum 60 WPM with 90 percent accuracy 5 years of proven office experience. Knowledge of office management systems and procedures. Working knowledge of office equipment, such as printers and fax machines. Excellent time management skills and the ability to prioritize work. Attention to detail and problem-solving skills. Excellent written and verbal communication skills. Strong organizational skills with the ability to multi-task. Familiarity with mobile technology. Pleasant, friendly disposition. Strong interpersonal communication skills
