Job Description

Overview We are seeking a dedicated and enthusiastic Accounts Receivable Assistant to join our team on a permanent basis. In this role, you will be the first point of contact for our customers, providing exceptional support and assistance. You will handle inquiries, resolve issues, and ensure customer satisfaction through effective communication and problem-solving skills. This position requires a strong commitment to delivering high-quality service in a fast-paced environment. Responsibilities Respond to customer inquiries via phone, email, or chat in a timely, friendly and professional manner. Provide accurate information regarding products and services to assist customers effectively. Analyze customer needs and offer appropriate solutions or alternatives. Enter work orders to ensure technicans are aware of the needs from the customer. Handle outbound calling to follow up on customer inquiries, work orders, or feedback. Perform data entry tasks and filing to maintain accurate records of customer interactions. Utilize phone etiquette to ensure a positive experience for every caller. Process cash handling transactions accurately when necessary. Record payments from clients daily. Prepare and finalize work orders and invoices. Review AR Aging Report Daily, Communicate with clients with past due balances for collections. Collaborate with team members to improve service delivery and address common issues. Maintain knowledge of company policies, procedures, and product offerings to provide informed assistance. Qualifications Previous experience in an administrative environment is preferred. Accounts Receivable experience is preferred. Strong computer skills with the ability to navigate multiple systems at a time efficiently. Fluent in Microsoft and Adobe. Proficient in English with excellent verbal and written communication skills. Ability to analyze situations quickly and make sound decisions under pressure, with the ability to manage concurrent responsibilities. Demonstrated ability in sales techniques is a plus. Strong attention to detail with effective data entry skills with the ability to draft memos, invoices, purchase orders, and contracts. Exceptional phone etiquette and interpersonal skills are essential for success in this role. A positive attitude and willingness to learn are key attributes we value in our team members.
