POSITION SUMMARY
The Accounting Clerk is responsible for the accurate and timely processing of accounts payable transactions and credit card reconciliations for L.H. Thomson Company, Inc. This position also provides support for payroll processing functions. The Accounting Clerk works closely with the Controller and other departments to ensure financial records are maintained in accordance with company policies and generally accepted accounting principles.
PRIMARY RESPONSIBILITIES
Accounts Payable (Primary) Receive, review, and verify vendor invoices for accuracy, proper authorization, and completeness prior to processing Code and enter invoices into the accounting system, ensuring correct general ledger account and cost center assignments Match purchase orders, receiving documents, and invoices (three-way match) as applicable Assist with preparation of weekly check runs, ACH payments, and electronic fund transfers for approved invoices Maintain vendor files and ensure vendor master data is accurate and up to date, including W-9 documentation Process employee check requests in accordance with company policy Assist with month-end closing activities related to accounts payable, including accruals and AP aging analysis Credit Card Reconciliation (Primary) Collect, review, and reconcile monthly corporate credit card statements Ensure all charges are supported by original receipts and appropriate business purpose documentation Verify that transactions are properly coded to the correct GL accounts and cost centers Follow up with cardholders to resolve missing receipts, unsupported charges, or policy exceptions Record reconciled credit card transactions in the accounting system Identify and escalate unusual or potentially non-compliant transactions to the Controller Payroll Support (Secondary) Assist with bi-weekly payroll processing, including data entry, timesheet review, and employee change updates Verify payroll input data for accuracy, including hours worked, pay rates, deductions, and direct deposit information Support the timely remittance of payroll taxes and benefit contributions Maintain payroll records and assist with payroll-related reconciliations and reporting Assist in preparing payroll journal entries for posting to the general ledger Respond to employee payroll inquiries and escalate complex issues to the Controller as appropriate General Accounting & Administrative Maintain organized filing systems for all accounting documents, both electronic and physical Assist with internal and external audit requests by compiling and providing supporting documentation Support month-end, quarter-end, and year-end close processes as directed by the Controller Perform other accounting and clerical duties as assigned
QUALIFICATIONS
Education & Experience High School Diploma required. Associate's degree in Accounting, Business Administration, or Bachelor's degree in related field preferred Minimum of two (2) years of experience in accounts payable, bookkeeping, or a related accounting clerical role Prior experience with payroll processing a plus Knowledge, Skills & Abilities Working knowledge of accounts payable processes, general ledger coding, and basic accounting principles Proficiency in accounting software (experience with ERP/Accounting System a plus) and Microsoft Excel Strong attention to detail and commitment to accuracy in data entry and financial record maintenance Effective organizational skills with the ability to manage multiple tasks and meet recurring deadlines Solid written and verbal communication skills; ability to interact professionally with vendors and internal staff Demonstrated ability to handle confidential information with discretion and integrity Self-motivated and capable of working independently as well as collaboratively within a team environment
PHYSICAL REQUIREMENTS & WORKING CONDITIONS
This position is primarily sedentary and is performed in a standard office environment. The employee is regularly required to sit for extended periods; use hands and fingers to operate a computer keyboard and other office equipment; and communicate clearly by telephone and in person. Occasional lifting of files or materials up to 25 pounds may be required. Regular and reliable attendance is expected. L.H.
