As a small business we seek a reliable detail-oriented Senior Bookkeeper to manage core financial operations, support our team and contribute to overall business success. Position Summary This part-time role (20-32 hours per week with higher hours during month-end close) is critical for accurate timely financial management. The Bookkeeper will own payroll, payables, receivables, month-end processes and more while serving as CRM champion. Priority focus areas include processing payroll on time and accurately, paying payables on time and accurately, handling union payments on time or early and completing month-end closing and reporting reliably. The ideal candidate thrives in a fast-paced small-team environment and is proactive about improving processes. This position is more than likely to become full time within 1 year due to growth. We are looking for a candidate who can grow with us. Key Responsibilities Process payroll accurately and on time using ADP and related systems Serve as CRM champion by knowing, understanding, troubleshooting and directing full implementation of our CRM software Enter and process payables Enter payments and manage receivables Manage billings to maximize revenue recognition particularly on jobs and at month end Manage employee commission plans Manage employee vacation tracking in our CRM, accounting software and with ADP Own month-end close to be completed by the 10th without fail Generate Work-In-Progress reports prior to month-end closing but after all receivables and billings are processed then adjust Estimated Cost to Complete and record the adjustments on our financials Reconcile bank accounts and manage the ZBA arrangement Implement processes as needed to improve operations Manage bank transitions Negotiate with vendors for payment discounts and prompt pay setups Manage the overall financials of the company Meet weekly with ownership Meet monthly to present numbers for the month with commentary on the puts and takes and whys and ifs Follow internal controls for banking, vendor payables, payroll and more Process union payments to be on time or early every month Attend monthly meetings with our third-party accounting firm for review and adjustments Handle general office duties when other team members are out of office or at lunch such as phone answering, dispatch and scheduling. Additional duties may include assisting with financial audits, supporting tax preparation tasks, maintaining organized financial records and contributing to special projects that enhance efficiency and compliance. Qualifications Proven experience in bookkeeping, accounting or related financial roles preferably in construction trades or service industries Strong knowledge of payroll processing, accounts payable/receivable, month-end closes and financial reporting Experience with CRM systems, ADP, QuickBooks or similar accounting software Excellent attention to detail, organizational skills and ability to meet strict deadlines Solid understanding of internal controls and basic accounting principles Proficiency with Microsoft Excel and other office tools Strong communication skills for presenting financial insights and collaborating with ownership and team members Ability to work independently in a small business setting while prioritizing key tasks like payroll and month-end activities This role reports directly to ownership and plays a vital part in our company's financial health and operational growth.
