Chillicothe, IL Job Details Full-time $18 - $20 an hour 2 days ago Benefits Health insurance Dental insurance 401(k) Paid time off Vision insurance Life insurance Qualifications Microsoft Word Administrative experience Manufacturing facility Attention to detail Organizational skills Full Job Description Accounts Payable / Administrative Assistant Position Summary The Accounts Payable / Administrative Assistant is responsible for managing accounts payable functions within the company ERP system while supporting office operations, reporting, inventory receiving, and general administrative duties. This position requires strong organizational skills, attention to detail, professionalism, and the ability to manage multiple priorities in a manufacturing environment. Essential Duties and Responsibilities Accounts Payable & ERP Functions Create purchase orders within the ERP system for inventory and non-inventory items. Differentiate and properly classify inventory parts, steel purchases, finished purchased parts, supplies, and miscellaneous expenses. Verify item descriptions, quantities, pricing, and vendor information for accuracy. Collect packing slips from all incoming orders and verify quantities received against purchase orders. Receive inventory and non-inventory items accurately within the ERP system. Process vendor invoices and ensure timely payment of all accounts payable. Print checks and process vendor payments through the ERP system. Mail vendor payments and maintain accurate payment records. Maintain vendor files and resolve discrepancies related to invoices, receipts, or purchase orders. Filing, Reporting & Recordkeeping Create and maintain yearly filing systems for accounting and administrative record. Assist with compiling and organizing company financial and operational documentation. Office Administration Assist in managing the company phone system and directing incoming calls professionally. Greet visitors, sales representatives, solicitors, job applicants, and customers in a courteous manner. Maintain professionalism and confidentiality in all office interactions. Oversee office cleanliness and organization to maintain a professional work environment. Create and distribute the company quarterly newsletter. Qualifications Previous experience in accounts payable, bookkeeping, or office administration preferred. Experience using ERP systems in a manufacturing environment preferred. Strong computer skills including Microsoft Excel, Word, and email communication. Excellent organizational, communication, and multitasking abilities. Ability to work independently and maintain confidentiality. Strong attention to detail and accuracy with data entry and recordkeeping. Physical Requirements Ability to sit, stand, walk, and perform office-related tasks throughout the workday. Ability to lift and carry office files, packages, or supplies occasionally. Work Environment Office and manufacturing facility environment. Frequent interaction with vendors, employees, customers, and visitors. Reports To CFO /
Office Manager Pay:
$18.00 - $20.00 per hour
