Full-Time, Monday - Friday (40 hours/week) Job Overview Are you an organized professional looking for a stable, long-term role where your attention to detail truly matters? We are seeking an Accounting & Office Specialist to serve as a key pillar of our daily operations. This is not just a "data entry" job; it is a role designed for someone who thrives on consistency, enjoys a predictable and professional routine, and takes pride in keeping the financial wheels of a business turning smoothly. You will balance essential accounts receivable functions with administrative support to ensure our office remains efficient and our customers are well-served.
Key Responsibilities Financial & Revenue Support Billing & Invoicing:
Manage the full invoicing cycle for services including archiving, scanning, and maintenance.
Accounts Receivable:
Take ownership of the AR process—apply customer payments (Checks, CC, ACH), follow up on outstanding balances, and resolve billing inquiries with professionalism.
New Partner Onboarding:
Accurately set up new customers, leads, and vendors within our system.
Documentation:
Prepare service addendums and maintain precise financial records in NetSuite .
Office Coordination & Support Communication:
Serve as a professional first point of contact by directing incoming calls and assisting with customer inquiries.
Mail & Logistics:
Manage incoming/outgoing mail, scan bills, and prepare checks for distribution.
Records Management:
Oversight of scan box inventory and secure records management (internal updates and shredding coordination).

Tech-Savvy:
You are proficient in Microsoft Office (Excel is your friend) and are comfortable learning or using ERP systems like NetSuite .
Experienced:
You have at least 1-2 years of experience in an office, billing, or administrative environment. Qualifications High School Diploma required (Associates degree in Business or Accounting is a plus). Prior experience in billing, AR, or office administration. Strong verbal and written communication skills. Ability to handle sensitive financial data with 100% confidentiality. Physical ability to sit for extended periods and lift up to 25 lbs (mail/files).
