Job Description

Job Classification:

Reporting Relationship:
Executive Director Primary Accountability:
The Accounting Clerk is responsible for ensuring the development and maintenance of all accounting systems and records, as well as a comprehensive set of controls designed to mitigate risk, enhance the accuracy of financial information and provide accurate and complete budget and financial planning and tracking.
Major Duties:
  • Maintain all financial records in accordance with generally accepted accounting principles
  • Prepare and complete all accounting functions including daily reports and reconciliations, bank deposits, accounts receivable, accounts payable and other related activities for shelter
  • Implement and maintain appropriate internal financial control procedures
  • Prepare and monitor the annual budget in cooperation with the ED and Finance Committee
  • Track incoming grants, grant expenditures and restricted funds
  • Prepare monthly and annual financial statements and reports
  • File all necessary tax reports in regards to payroll and sales tax and issue and report to
IRS 1099-NEC
forms
  • Assist CPA firm in performance of the annual audit and 990
  • Monitor cash flow and make appropriate bank account transfers
  • Oversee maintenance of the donor database which includes all agency contributions and special event records, produce lists for mailing purposes, maintain accuracy of donor records, assist in preparation of donor appeal and acknowledgement letters
  • Process incoming and outgoing mail
  • Communicate employees' hours and needs with outside payroll company, process payroll reports
  • Work closely with all management members in regards to accounting issues and procedures
  • Provide support to shelter's Trust by recording transfer of all funds from shelter to Trust or from Trust to shelter
  • Performs additional duties as assigned.
Qualifications:
  • Prefer Associate's or Bachelor's Degree in Business Administration or Accounting
  • Knowledge of tax related reporting requirements and computerized accounting software
  • Knowledge of business and management principles involved in strategic planning, resource allocation, leadership technique, and coordination of people and resources
  • Strong computer and word processing skills, in particular Quickbooks, Microsoft Office Software, and Good Workspace
  • Ability to work both independently and in a team environment
  • Ability to communicate effectively, both orally and in writing with staff, the business community, donors and the public
  • Ability to work efficiently with attention to details and quality of work produced
  • Ability to exercise good judgment in setting priorities and organization of work load
  • Willingness to lead, take charge and offer opinions and direction
  • Ability to analyze information and use logic to address work-related issues and problems

  • Ability to sit for extended periods of time
  • Ability to read computer screens and mail; talk on the phone
