Responsibilities:
Administrative Tasks:
Assist with managing multiple share email boxes, responding and/or forwarding to appropriate individual, miscellaneous data entry, scanning, and other office related tasks.
Accounts Payable:
Manage a high volume of payables, including coding to jobs
Vendor Management and Liaison:
Ensure all vendors have proper insurance, tax documentation, and act as primary point of contact for any questions from vendors.
Collaboration:
Work closely with internal teams to streamline processes, resolve discrepancies, and cross-train.
Special Projects:
Take ownership of a wide range of special projects, big and small, demonstrating flexibility and a willingness to step in wherever needed to support operations, coordinating events, sourcing items, creating flow charts or spreadsheets to solve problems, and ensure the team stays on track.
Skills:
Proven Experience:
In administrative, accounts payable, or a similar role.
Communication Skills:
Strong written and verbal communication skills.
Proficiency:
In MS Office and accounting software (e.g., QuickBooks).
Organizational Abilities:
Excellent organizational and time-management skills. Ability to manage multiple tasks and prioritize effectively to meet deadlines.
Independence:
Ability to work independently and prioritize tasks effectively.
Adaptability:
Flexibility to adapt to changing priorities and procedures in a dynamic work environment.
Problem-Solving Abilities:
Identify and resolve issues related to accounts payable (such as discrepancies in pricing or other errors) using critical thinking.
Financial Acumen:
Understanding of basic accounting principles and processes related to accounts payable. Attention to
Detail:
Accurate data entry, invoice processing, and record-keeping skills.
Customer Service:
Experience in customer service or client-facing roles.
Ethical Conduct:
Commitment to maintaining confidentiality and integrity in handling financial information and adhering to company policies and procedures.
