Financial acumen Full Job Description Job Overview We are seeking a dynamic and detail-oriented Accounts Payable (AP) Specialist to join our finance team. In this vital role, you will be responsible for managing the company's outgoing payments, ensuring accuracy and compliance with financial standards, and maintaining strong vendor relationships. Your expertise will help streamline our accounts payable processes, support financial integrity, and contribute to the overall efficiency of our accounting operations. This position offers an exciting opportunity to work with cutting-edge financial software and collaborate across departments to uphold best practices in accounting. Duties Process and review all accounts payable transactions, including invoice entry, coding, and approval workflows using accounting software such as Workday, SAP, Oracle or QuickBooks. Prior accounts payable experience within a legal, law firm, consulting, or professional services environment is strongly preferred. Ensure compliance with SOX (Sarbanes-Oxley Act) controls and GAAP (Generally Accepted Accounting Principles) standards throughout all AP activities. Reconcile vendor statements and resolve discrepancies promptly through effective communication with suppliers and internal teams. Prepare and process payments via various methods such as ACH, wire transfers, checks, or Paychex systems, ensuring timely disbursement. Maintain accurate records of all AP transactions, including journal entries, account reconciliations, and audit documentation. Collaborate with procurement, finance, human resources, and other departments to ensure seamless data entry and proper coding of expenses. Assist with month-end closing procedures related to accounts payable and contribute to internal audits by providing detailed reports and documentation. Support compliance efforts related to tax regulations and governmental accounting requirements by preparing necessary filings or reports. Qualifications Proven experience in accounts payable functions within a corporate or public accounting environment. Strong understanding of financial concepts such as debits & credits, double-entry bookkeeping, and general ledger accounting. Proficiency with accounting software including Workday, QuickBooks, Sage, UltiPro, PeopleSoft or similar platforms; experience with HRIS systems like ADP or Ceridian is a plus. Knowledge of SOX controls and adherence to GAAP standards for financial reporting. Excellent data entry skills with high accuracy (10 key typing proficiency preferred). Ability to analyze financial data critically and perform account reconciliation efficiently. Familiarity with payroll management systems such as Kronos or Paychex is advantageous. Strong organizational skills combined with attention to detail; ability to manage multiple priorities effectively.
