Job Description
Job Overview Hours are M-F 6am -1pm Some Saturdays as needed 5am-10am We are seeking a dynamic and detail-oriented Accounts Payable Specialist to join our finance team! In this vital role, you will be responsible for managing the company's outgoing payments, ensuring accuracy and compliance with financial policies and procedures. Your expertise will help maintain smooth financial operations, support vendor relationships, and uphold the integrity of our accounting processes. If you thrive on precision, we want to hear from you! Duties Process all accounts payable transactions accurately using various accounting software such as QuickBooks. Review and verify invoices, expense reports, and purchase orders for completeness and compliance with company policies. Reconcile vendor statements and resolve discrepancies promptly through effective communication. Prepare and record journal entries related to accounts payable activities, ensuring adherence to double-entry bookkeeping principles. Maintain detailed records of payments, approvals, and supporting documentation in accordance with SOX controls. Assist with month-end closing activities including general ledger reconciliation and analysis of accounts payable data. Support benefits administration and non-profit accounting functions as needed, including processing employee expense reimbursements. Collaborate with human resources and payroll teams using systems like ADP or UltiPro to ensure accurate data entry for payroll management. Conduct account reconciliations regularly to ensure accuracy of the accounts payable ledger. Support audit processes by providing documentation for internal controls and external audits related to accounts payable. Qualifications Proven experience in accounts payable processing within a corporate or public accounting environment. Strong understanding of GAAP (Generally Accepted Accounting Principles) and SOX compliance standards. Proficiency in accounting software such as Workday, Paychex, QuickBooks, Sage, PeopleSoft or similar platforms. Familiarity with financial concepts including debits & credits, journal entries, general ledger accounting, and account reconciliation. Knowledge of payroll management systems like ADP or Kronos is a plus. Excellent data entry skills with high accuracy (10 key typing proficiency). Ability to analyze financial data critically and perform detailed account analysis. Experience with governmental or non-profit accounting is advantageous but not required.
