Accounts Receivable & Administrative Coordinator Reports to:
Director of Administration Starting Pay:
$22.00 per hour + $300.00 monthly bonus Job Summary We are seeking a detail-oriented and organized Accounts Receivable & Administrative Coordinator to support daily accounting and office operations. This role is responsible for managing accounts receivable functions, maintaining accurate financial records, assisting with customer account inquiries, and providing general administrative support to ensure efficient business operations. The ideal candidate will possess strong communication skills, attention to detail, and the ability to manage multiple priorities in a fast-paced office environment. Essential Duties and Responsibilities Accounts Receivable Functions Prepare and process customer invoices accurately and in a timely manner. Monitor accounts for incoming payments and outstanding balances. Apply customer payments and reconcile account discrepancies. Follow up on past-due accounts and assist with collection efforts as necessary. Maintain accurate customer account records and supporting documentation. Assist with month-end reporting and account reconciliations. Communicate professionally with customers regarding billing questions and payment status. Generate accounts receivable reports and aging analysis as requested by management Administrative Functions Provide general administrative and office support for daily operations. Answer and direct incoming phone calls and emails professionally. Maintain organized filing systems, records, and office documentation. Assist with data entry, document preparation, and report generation. Coordinate office supplies, inventory, and administrative needs. Support scheduling, meetings, and other office activities. Assist management with special projects and operational tasks as needed.
Knowledge, Skills, and Abilities Education:
High school diploma or equivalent required; associate degree preferred.
Experience:
Previous accounts receivable, accounting, or administrative experience preferred.
Software Proficiency:
Proficiency in Microsoft Office applications, especially Excel and Outlook; experience with accounting or ERP systems preferred.
Soft Skills:
Strong organizational and time management skills. Excellent written and verbal communication abilities. Strong customer service and interpersonal skills. Ability to handle confidential information with professionalism and discretion. Exceptional attention to detail and accuracy. Ability to prioritize tasks and meet deadlines in a fast-paced environment. Physical Requirements and Working Conditions Ability to sit, stand, and work at a computer for extended periods. Ability to occasionally lift office materials up to 15 pounds. Regular use of standard office equipment including computers, phones, printers, and copiers. Standard office environment with regular business hours.
